Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression of the organization
- Answer multi-line phone systems promptly and professionally, directing calls accurately
- Manage appointment scheduling and calendar coordination using tools like Google Workspace and medical record systeme like ecw/eclinical
- Handle data entry, filing, and document proofreading to maintain accurate records
- Support office management tasks such as supply inventory, mail distribution
- Maintain a clean, organized front desk area and ensure all office equipment is functioning properly
- Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and professionalism
- Collecting copays and patient balances while being able to explain their bill to them
- Collecting patient insurance information and demographics
Skills
- Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively
- Bilingual abilities in Spanish and English are highly desirable to assist diverse clientele and team members
- Familiarity with insurances, copay collections, and coinsurance is helpful
- Knowledge of medical or dental receptionist duties is a plus but not required
- Exceptional customer service skills combined with professional phone etiquette and personal presentation
