We are a fast-growing U.S.-based medical virtual assistant company partnering with healthcare practices to support and optimize their administrative operations. Our teams streamline front-end and back-office workflows—including scheduling, patient communication, and revenue cycle processes—so providers can focus on patient care.
With operations in both the U.S. and the Philippines, we are scaling rapidly and building a scalable, high-performing operational foundation.
We are seeking an experienced Director or Vice President of Operations to work directly with the CEO and leadership team to drive operational excellence and scale the organization.
This is a high-impact leadership role for someone who deeply understands outpatient practice operations and can translate that knowledge into efficient, scalable administrative solutions. You will partner closely with both internal teams and healthcare practice leaders (our clients) to improve workflows, performance, and service delivery across U.S. and offshore teams.
*This position is primarily in-person in West Hartford, CT, with structured hybrid flexibility.
- Partner with the CEO and leadership team to develop and execute operational strategy
- Collaborate with internal leaders and client-side practice managers to ensure alignment and performance
- Foster and strengthen a culture that drives employee engagement, collaboration, and a positive work environment
- Partner with the CEO, CFO, and operations leadership to oversee P&L performance and manage budgeting processes
- Lead and oversee teams across U.S. and Philippines-based operations
- Drive improvements across administrative workflows, including front desk, patient access, and revenue cycle management
- Identify inefficiencies and implement scalable process improvements
- Establish and monitor KPIs, SOPs, and performance standards
- Ensure strict, organization-wide adherence to HIPAA, healthcare compliance, and data security regulations
- Operate as both a strategic leader and hands-on executor in a fast-paced environment
- 10 years of operational leadership experience in a hospital outpatient or multi-site practice setting
- Proven experience overseeing multiple practices, locations, or service lines
- Deep expertise in front desk operations, patient flow, and revenue cycle management (RCM)
- Required: Extensive, hands-on expertise in HIPAA and healthcare compliance, with a track record of implementing and enforcing compliance across teams
- Experience managing offshore or fully remote teams (strongly preferred)
- Strong leadership presence with the ability to influence internal teams and external stakeholders
