Administrative Coordinator
Description of Duties
(Primary Responsibilities) Under the direction of the Principal:
• Track and monitor student attendance in PowerSchool
• Maintain student/staff information in CALPADS data system
• Coordinate CELDT/LAS and STAR assessment
• Organize and maintain student Cumulative records
• Coordinate submit data to back-office service provider
for compliance/regulatory reporting
• Train and coordinate staff development for classified employees
• Key liaison and advisor to Principal; maintain confidentiality
• Oversee accuracy of breakfast and lunch count procedures request/monitor reimbursement
• Oversee verification process for School Nutrition Program
• Manage staff & substitute time sheets, schedule substitutes
• Maintain master schedule of staff assignments
• Create purchase orders, track and monitor and keep records of receipt of inventory
• Distribute/mail checks to staff and payments to vendors
• Track vendor invoices and payments
• Train staff and Supervise After-School program
• Maintain current personnel records
• Oversee and monitor preparation of weekly attendance reports (Student/Staff)
• Monitor credentials, Tuberculosis and background clearance
• Maintain Master Program Files for ELL students
(Supplemental Responsibilities)
• Schedule certificated professional development
• Assist principal with staff development and in-service training of certificated staff, including, but not limited to materials acquisition, planning, and instructing
• Serve as back-up administrator in absence of Principal
• On rare occasions, engage students referred for discipline when Principal is unavailable
• In emergency situations, serve as substitute teacher
• Assist with writing of grant proposals and other administrative paperwork
• Perform other duties as necessary
Traits and Characteristics:
The individual is expected to be highly organized and task oriented. A positive attitude and a collaborative style are important attributes. The AC will be an open, confident, proactive professional who is accessible, flexible, has excellent written and oral communication skills, and has a proven track record for managing multiple projects simultaneously. The AC should also be proficient in Word, Excel, Outlook and Powerpoint, as well as management of computer files and folders. There is a strong preference for individuals with advanced skills in Word, Excel and Outlook (e.g., mail merges, data analysis in Excel). Preference will also be given to candidates who are ‘tech savvy,’ and have the ability to resolve and/or oversee the monitoring of technology-related challenges.
Qualifications:
This position requires a teaching certificate. An administrative services credential is highly desirable. Preference will be given to candidates who are bi-lingual in Spanish or other languages that support the school’s mission statement.
