JOB SUMMARY
This role will support the Global Disciples Alliance - the team responsible for all international training programs - by coordinating documentation, communication, and resourcing of all annual events, materials, and policies. In addition, this role will provide administrative support within the Alliance.
GOALS
This job exists to:
- Coordinate the planning, resourcing, and follow-up for all annual Alliance equipping events and staff training events.
- Maintain materials and documents related to Alliance training and policies.
- Support the Specialist Council.
- Serve on the Alliance Resource Team.
- Serve as the main point-of-contact for basic Alliance-related communication, both within and outside of the organization.
- Other duties, as assigned.
RESPONSIBILITIES
1. Coordinate the planning, resourcing, and follow-up for all annual Alliance equipping events and staff training events.
- Under the leadership of the Alliance Manager, help coordinate the planning, resourcing, and follow-up for all annual Alliance equipping events and training events.
i. Planning – Communicate and coordinate event details, logistics, and travel plans
ii. Resourcing
-Help compile, proofread, format, and distribute materials to staff in a timely manner, including schedules, notebooks, staff resource manuals, and any additional materials that will be brought to or needed during the events.
-Coordinate the process of lesson creation and revision for all notebooks, including communicating with lesson writers, compiling first drafts, coordinating feedback groups, participating in the revision process, and formatting final drafts.
-Coordinate the creation of key event resources, including logos and videos.
iii. Follow-up
- Collect, summarize, and report on event feedback to staff leadership teams.
- Receive emails and update files.
- Work with Continental Leadership Teams to compile annual list of events.
2. Maintain materials and documents related to Alliance training and policies.
- At the direction of the Alliance Manager, edit, update, organize, and distribute forms, materials, and policy documents.
- Coordinate, organize, and distribute yearly electronic files to be used by Alliance staff, including relevant files from each global team (HR, IT, Finance, etc.) and each Phase.
- Organize and file all Alliance documents in OneDrive.
- Support the Alliance Manager in updating and distributing Alliance promotional materials to staff as needed, including brochures, books, and other informational documents and graphics.
3. Support the Specialist Council (SC).
- Schedule and coordinate logistics for meetings.
- Record and disseminate detailed minutes.
- Follow-up on tasks post-meetings.
4. Serve on the Alliance Resource Team (ART).
- Participate in—and record and disseminate detailed minutes for—ART meetings and Alliance Data Manager meetings.
- Collaborate with the Alliance Salesforce Specialist and Executive Assistant, as needed.
- Collaborate with relevant staff to provide technical support during virtual Alliance events.
- Attend and support annual leadership training events internationally, as needed.
5. Serve as the main point-of-contact for basic Alliance-related communication, both within and outside of the organization.
- Communicate weekly Alliance events with the US staff.
- Communicate and collaborate between ART and other global teams (HR, IT, Finance, etc.) regarding Alliance-related updates, policies, events, and staffing.
- Collaborate with the Alliance Salesforce Specialist to finalize Alliance data for the Annual Report.
- Respond to all international requests for partnership and forward intake forms to relevant staff.
- Coordinate monthly Global Connect Hours between international regions and North America staff.
6. Other duties, as assigned.
QUALIFICATIONS
- Must be a committed follower of Jesus Christ and an active member of a Christian Church.
- Passion for the mission and work of Global Disciples and alignment with its statement of faith, goals, purposes and objectives.
- Project management experience (preferred).
- Task-oriented and efficient at time-management.
- Organized and systematic as it relates to work and communication.
- Ability to collaborate and work productively within multiple diverse teams.
- Ability to work independently and take initiative.
- Positive outlook toward frequent change and inclination toward adaptability.
- Strong interpersonal skills and the ability to relate interculturally with staff and potential partners.
- Strong written and oral communication skills.
- Strong proofreading and editing skills, including relevant experience.
- High level knowledge of Microsoft Office.
- Familiarity with Salesforce (preferred).
