Job Summary
We are seeking a polished, highly organized and sales-driven front desk manager to be the face and voice of our luxury med spa. This role is ideal for a seasoned professional with exceptional phone presence, strong closing skills, and the ability to manage front of house operations while driving revenue. You will create an elevated client experience from the first phone call through checkout. Must be highly organized, efficient in booking appointments and strong in sales.
Responsibilities
- Greet visitors, clients, and staff with a friendly and professional demeanor, creating a positive first impression.
- Answer all incoming calls promptly with luxury, sales-oriented phone presence.
- Mange clients check in/check out with efficiency, discretion and attention to detail.
- Maintain organized filing systems, data entry records, and ensure all documentation is accurate through proofreading and meticulous attention to detail.
- Utilize office management software such as Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks including calendar management and bookkeeping
- Support office management activities by coordinating supplies, managing incoming correspondence, and assisting with clerical duties such as typing and proofreading documents
- Handle sensitive information with confidentiality while providing exceptional customer service and support to visitors and team members.
- Handle client inquires, concerns and follow ups with professionalism.
Requirements
- Proven experience in office management or administrative roles with strong clerical skills.
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
- Prior experience with multi-line phone systems and phone etiquette in a professional setting.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Previous experience in med spa or medical receptionist role.
- Master the scheduling system to optimize consultations and treatments.
- Maintain accurate client records, notes and payment information.
Sales and Revenue Generation
- Convert phone inquiries into booked consultations and treatments.
- Confidently educate clients on services, packages, memberships and promotions.
- Upsell services.
- Track leads, follow up consistently and re-engage inactive clients.
- Meet or exceed individual and team sales goals.
Leadership
- Enforce policies, scripts and service protocols.
- Collaborate with owner and providers to support business growth.
- Assist with promotions, launches and events.
