Office Administrator / Billing Coordinator
Location: Pennsauken, NJ
Schedule: Full-Time, Monday–Friday (On-Site)

About the Role
We’re looking for a dependable and detail-oriented Office Administrator / Billing Coordinator to support our wholesale distribution business. With over 50 years in business, we’re entering an exciting period of growth and expansion — and we’re looking for someone dependable who wants to be part of that journey for the long haul.
This role is central to keeping our office organized, accurate, and running smoothly — from handling invoices and receipts to maintaining inventory records and coordinating day-to-day office needs. Responsibilities
Process and enter receipts for incoming merchandise and reconcile with purchase orders
- Maintain accurate receivables accounting records
- Create and send pro formas and invoices to customers
- Manage credit notes and billing adjustments
- Maintain and update inventory information in our computer system
- Order and track office and warehouse supplies
- Handle maintenance requests and schedule service calls
- Answer phones and provide friendly, helpful customer service
- Build and maintain spreadsheets for reporting and organization
- Maintain and update spreadsheets for reporting, sales, and purchasing functions
- General office support, as needed
- Provide assistance to the sales and buying teams, as needed.
Qualifications
· Prior office, bookkeeping, or administrative experience preferred
- Proficient with Microsoft Office (Excel, Word, etc.) and email
- Experience with bookkeeping or accounting software
- Strong attention to detail and organizational skills
- Comfortable multitasking and working independently
- Positive attitude, reliability, and good communication skills
- High school diploma or higher education level
