Job Overview
The Clinic Admin Assitant will oversee the dialy operations of the Cleburne clinic, a busy gynecology office, while ensuring the deliver of high-quality patient service and compliance with regulatory standards and efficent workflow. The Clinic Admin Assistant will assist staff as needed, help coordinate schedules, and serve as a liaison between the Chief Clinic Officer/Clinic Director, providers and administrative teams. The Clinic Admin Assistant will maintain the office/clinic in accordance with the standards established by the Hospital, Federal, State, Joint Commission and local standards. All functions of the office/clinic are carried out according to the Glen Rose Medical Center's Mission Statement and policies. Teh Clinic Admin Assistant will report to the Assitant Clinic Director and/or the Chief Clinic Officer/Clinic Director.
Duties
- Greeting patients professionally both in person and on the phone.
- Quickly answering and properly referring questions and issues.
- Optimizing provider schedules and patient satisfaction with efficent scheduling.
- Checking next day eligibility and estimating collections for date of service to be collected at check-in
- Collecting all expected co-pays, deductibles, balances, and assisting patients with payment plans.
- Checking clinical inboxes/faxes throughout the day and keeping them to a minimum.
- Closing out daily TOS collections as direct.
- Covering other clinical and administrative chairs as needed through the clinic.
- Comforting patients by anticipating anxieties and effectively answering questions.
- Ensuring availability of treatment information by retrieving and updating patient records.
- Maintaining reception area in a neat and orderly condition.
- Assists parients with insurance ad billling questions.
- Processing medical records requests as needed.
- Preparing chards for following day. Ensure that providers have informaiton needed prior to present to hospitals for surgeries.
- Oversee and support front office staff, including receptionists, schedulers, medical assistants, and medical records personnel.
- Coordinate daily workflow to ensure efficient patient checck-in/out, scheduling, and insurance verfication
- Handle patient concerns and resolve service-related issues in a timely and professional manner
- Ensure compliance with HIPAA regulations, OSHA standards, and office policies
- Collobarate with clinical staff to optimize communicationa dn patient care delivery
- Setting up payment plans when needed
- Assit MA/Surgery Scheduler as needed with insurance proivders for pre-authorizations for all surgeries.
- Assist MA/Surgery Scheduler with providing the hospital with all documents, authorization, etc... for surgery scheduling
- Maintaining and keeping patient informaiton confidential.
- patricipating in overall improvement projects as direct by Amdinistration
- Ensure that privders stay current with CME & license renewals
- Other administrive/clinical tasks as assigned by Chief Clinic Officer/Clinic Director, Assistant Clinic Direct, Clinic Supervisor or Phyisican/Provider.
Qualifications
- High School Diploma or Equivalent required
- BLS/CPR certification required
- Minimum 2-3 years of medical office experience preffered, ideally in women's health or OB-Gyn
- Stong Knowledge of insurance plans
- Excellen organizationl, time management, and problem-solving skills
- Ability to maintain confidentiality and professionalism in all patient interactions
- Strong communication and interpersonal skills
- Comfort discussing sensitive health topics with patients in a professional and empathetic manner
- Proficiency in EHR systems (e.g. Athena, eClinicalWorks, or Epic preffered)
Work Environment and Physical Demands:
- Outpatient clinical setting specializing in women's health
- Required prolonged standing, walking, and occasional lifting (up to 25 lbs)

Other Requirements:
Good general health and stress coping ability. Full mobility and ability to patricipate in vigorous activity. Ability to speak and hear to allow discusssions with patients and peers as well as make accurate physical assessments. Possess visual acuity for accurate reading of equipment and recording on patient charts. Must be physically able to assist patients of all sizes according to proper procedure. High frequency of viewing a computer monitor, typing, multi-tasking, talking on the phone for many hours.
Pay: $17.00 - $21.00 per hour
Expected hours: 40.0 per week
