Position Summary:
Warehouse Coordinator
This position will be responsible for the shipping, receiving, supply tracking, stock replenishment, and record
keeping of the Company’s inventory. This position is a component of the accounting department and will be
responsible for receiving all inventory and supplies delivered to the Hot Springs Location, posting receipts in
Resort Suite, maintaining an organized and efficient inventory locations, and working with the purchasing
coordinator to resolve problem deliveries.
Further this position will oversee the monthly inventory counts of all professional product and supplies and
coordinate with all departments for the quarterly inventory counts ensuring the accuracy of the counts and
reporting of the inventory valuation at each period end.
Additionally, this position will split time with the all locations (departments) of inventory including the Ivy Kitchen,
guest services, spa services, retail, and warehouse lock up. Other special projects are required as assigned.

Essential Duties & Responsibilities:
Inventory:
-
Assist with month end and year-end inventory counts as needed.
-
Working with maintenance staff to create an organized inventory system
Shipping & Receiving:
-
Responsible for the receipt of shipments of goods to Inventory warehouse lock-up, for professional supplies, retail merchandise, paper products and guest services. For those items considered inventory, the receipts of the items must be properly recorded into Resort Suite with the supporting documents such as the receiving reports, vendor packing list, and purchase order is turned into accounting department. For each shipment received:

Verification of goods received, the quantity on Glen Ivy Purchase Order, Order Status receiving document with vendor packing documents.

Immediately record and report all discrepancies of goods received to accounting as well as the Purchase Order originator.

Communication of the inventory received to the department that ordered the product should be made on a timely basis.

Products received into the warehouse should be checked into Resort Suite within 24 hours of receipt.

Accurately match the item ordered, quantity ordered on the vendor packing slip, and purchase order.

Ensure that the stocked inventory is locked up in designated areas is organized, properly counted with all inventory quantities on hand matching the counts in Resort Suite at any given time. Accuracy of the inventory levels on hand at any time is one of the most important functions of this position.

Salon/Retail inventory support. The salon/retail department is the largest priority of the warehouse coordinator position. All inventory items received should be retail ready before leaving the warehouse cage area.
Inventory items should be properly placed for sale on the retail floor with minimal interaction from the retail sales staff. These items include:

Barcode labels printed and appropriately placed on all merchandise received.

All items that require an additional pricing label should be placed on the merchandise before it is moved from the warehouse.

Retail items requiring sensors should have the sensors placed on the garments before merchandise is removed from the warehouse.
-
Retail clothing items requiring steaming should be streamed and hung on the proper hangers before they are removed from the warehouse.

This position will work and communicate with all departments within the Company to ensure proper inventory levels are maintained especially prior to a weekend and inventory is well organized.

Log the status of shipments daily in the Retail Forecast document.

Email daily a list of the shipments that arrived to the purchasing coordinator, Spa Services Leadership Team, Retail Manager and Director of Finance.

Follow the proper procedures for Inventory Stock Rotation, a first in first out system
Storage Areas:
This position is responsible for the following inventory areas:

Inventory Lock Up
-
Maintain cleanliness and order in product storage areas
-
Ensure that storage, inventory, and discontinued items are stored separately and clearly labeled
-
Ensure all Merchandise in the warehouse is stored properly.

Follow the Inventory Stock Rotation process of First in First Out
-
Log and Track all items removed from storage area including damaged product
-
Follow the Damage Log Procedure as outlined in the Glen Ivy Way.
Inventory:
-
Working with the Purchasing Coordinator to set Minimums, Maximums, and Reorder Points in Resort Suite for Professional Product.

Conduct weekly cycle counts of inventory maintaining a log of variances
-
Balance stock by analyzing stock level reports. Transfer goods as approved/requested.

Complete monthly inventory counts for Professional Product at the Hot Springs location and submit reports to Accounting Manager by the required date.

Oversee year-end inventory for professional massage product/Hot Springs Inventory Lock Up

Working with maintenance staff to create an organized inventory system
Product Control:

Alert Management to any suspicious trends in usage
