Job Summary
We are seeking a proactive and dynamic Wedding and Event Coordinator to join our Weddings, Events, and Group Reservations Department at Glen Falls House.
The Wedding and Event Coordinator will use their technical, organizational, creative, and professional skills to maintain the weddings, events, and group reservations sales department with administrative, marketing and customer service oriented tasks, related to the daily operations of Glen Falls House.
Daily and weekly tasks include,
-Wedding sales correspondence and sales cycle management through consistent follow up
Group and Retreat Sales correspondence
Maintaining daily email and phone correspondence for hotel, restaurant and event guests
Creating and maintaining business calendars to support sales cycles and program and partnership planning.
Maintaining executive meeting calendars
Communicating business needs with staff and stakeholders
Maintaining a presentable lobby, office, front desk, provisions and common space
environment at Glen Falls House through appropriate delegation to HK, Grounds, Front Desk
Compiling and placing orders for business supplies and Goods sold in the course of business
Managing hotel retail inventory
Maintaining VIP, partner, internal and external stakeholder relationships
Managing Weekly and monthly marketing email schedules with designer
Managing website and social media updates with designer
Managing Promotional flyer and e-vite design with designer
Managing Menu design and printing with designer
Managing Signage design and printing with designer
In - room and guest literature, writing, design and printing
ResKey PMS Software management
Revenue optimization through effective marketing campaigns and reservation
booking cycles
- Helping colleagues ensure that delegated tasks are completed on time through
effective communication
Weekly and monthly reporting to Ownership and Upper Management
Potential travel with ownership, investors and upper management for R&D
business trips
- Maintaining confidentiality of proprietary, sensitive, private, guest-related and
general business information
Requirements
- Proven experience or interest in hospitality, venue booking, event promotion, planning and production.
- Familiarity with software such as Excel, Mailchimp, Sales Force, Reservation Key or similar platforms.
- Strong negotiation skills with the ability to upsell and close deals effectively.
- Excellent communication skills for customer service, cold calling, property tours.
- Knowledge of property, industry, clientele, and growth goals; lead generation techniques, and account management strategies.
- Ability to work independently as well as part of a team in a fast-paced setting.
- Strong analytical skills for market analysis and sales performance evaluation.
- Experience or interest in marketing activities related to product promotion and brand awareness. This role is ideal for motivated individuals eager to grow their expertise in sales management, business development, and marketing within a supportive team environment.
