Job Summary
We are seeking an energetic and detail-oriented Part Time to Full Time Receptionist to join our team. This vital role involves managing front desk operations, providing excellent customer support, and ensuring smooth office management. The ideal candidate will be proactive, organized, and possess strong communication skills to create a welcoming atmosphere for clients and visitors alike.
Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression, and assist accordingly
- Answer and direct multi-line phone systems efficiently using professional phone etiquette
- Collect Customer Payments
- Perform front desk operations, including scheduling appointments, monitoring schedule, and ensuring accuracy throughout process
- Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace tools, etc.
- Type up estimates, prepare estimator packets, and file according to company process
- Quoting from suppliers and calling customers as needed
- Call customer with quote amounts and email to customer per company process
- Collect deposit payments and request POs from purchasing agent
- Order materials needed for jobs, ensuring that POs and orders match accordingly
- Ensure material order confirmations have been received and verified to match the Work Order
- ensure that all files are uploaded and attached to POS software then filed in the correct filing system as specified by company process
- Ensure that comprehensive notes, CREDIT card info, and any other relevant information is accessible in the POINT-OF-SALE software
- Close out cash drawer, batch out credit card terminal and complete daily deposit sheet at the end of every day
- Keep front reception, displays, break room area, and bathrooms clean and free of clutter
- Maintain organization of files and documents while ensuring confidentiality and accuracy
Requirements
- Proven experience in office administration, clerical work, or as a receptionist in a fast-paced environment
- Strong computer skills with proficiency in Microsoft Office, Google Workspace, data entry, and basic Point of Sale systems
- Excellent organizational skills with the ability to multitask effectively and prioritize tasks
- Exceptional communication skills with a professional phone manner; bilingual abilities are a plus
- Previous experience in construction or scheduling receptionist roles is advantageous but not required
- Demonstrated ability to handle multi-line phone systems and manage front desk operations efficiently
- Glass knowledge or experience is a plus!
- High school diploma or equivalent; additional administrative or office experience preferred
