Administrative and Registration:
- Process registration and enrollments via the online registration system, CampMinder, including monitoring
- Monitor telephone, email, and help ticket correspondences, taking appropriate action to resolve issues or refer
- Review and process all received camper forms for accuracy and completeness.
- Manage camper information and make prompt adjustments as necessary to reflect accurate information in
- Draft written mass communications pertaining to enrollment/registrations, waitlists, missing/incomplete
- Prepare and disseminate informational lists to camp staff and Volunteer Camp Directors throughout the camp
- Process manual credits/debits, including refunds, financial aid requests, and gift card payments made through
- Support the research, preparation, and implementation of programs by providing program staff with rosters,
- Lead and/or participate in special projects and innovation teams based on skills and organizational needs.
- Track enrollment and metrics weekly.
- Support department business operations, including purchasing, tracking, and coding invoices, inventory
- Manage the internal vendor process for all outdoor programs and coordinate out-trip logistics for camps.
- Plan, prepare, and deploy materials, supplies, meeting notes, correspondence, and other written reports using
- Participate in annual review of safety and risk forms. Ensure that Risk Management forms comply with GSUSA,
- Intake volunteer event, camp and travel forms. Ensure all events are added to the emergency calendar.
- Manage Certificate of Insurance requests. Oversee the COI request form and school site reservation platforms.
Customer Service:
- Provide excellent customer service to parents, families, staff, volunteers, vendors, and community partners
- Serve as the family liaison for the Camps and Adventure department, addressing inquiries and resolving issues
- Support ActiveNet by managing registrations, property reservations and troubleshooting for members in our
- Process financial aid requests, Council Credits and reimbursements for Council Run and Volunteer Run camps.
- Intake, review and process all forms from Volunteer Run Camps.
- Support Trip or High Adventure Approval requests. Consult with volunteers on training, safety protocols, and

Cross-Departmental Project Support:
- Support Outdoor Program HR systems, including recruitment, onboarding, training, and documentation
- Support camper recruitment and marketing efforts.
- Develop and implement marketing strategies to attract new participants and increase engagement from existing
- Support the implementation, data collection, and analysis of program outcomes from events and summer camp.
- Use evaluation data to inform continuous improvement of outdoor programs.
- Other duties as assigned to meet organizational goals.
- Bachelor’s Degree in a relevant field such as Recreation Management, Outdoor Education, Business
- Minimum of two years' experience in organized camps and/or outdoor programs, including program
- Ability to effectively plan, organize and implement a multi-faceted, deadline-driven workload with minimal
- Strong interest in issues affecting girls and young women, with a passion for fostering their personal growth and
- Excellent written and verbal communication skills; ability to articulate ideas effectively, facilitate discussions,
- Strong interpersonal skills; adept at cultivating, motivating, and maintaining effective working relationships with
- Ability to work both independently and collaboratively in a high-functioning team environment, demonstrating
- Strong project planning, organization, and follow-through skills, with the ability to prioritize tasks and manage
- Strong analytical skills, including the ability to gather, analyze, and interpret data to inform decision-making and
- Proficient in the latest versions of Windows and Office Suite (Word, Excel, PowerPoint); adept at utilizing
- Familiarity with Customer Relationship Management (CRM) systems, such as Salesforce or Zoho, and experience
- Demonstrated ability to provide excellent customer service, utilizing CRM systems and other tools to efficiently
Desired Qualifications
- Bilingual Skills: Proficiency in Spanish or another language in addition to English.
- Girl Scout Knowledge: Familiarity with the Girl Scout mission and programs.
- Camp Regulations: Knowledge of California State organized camp laws and American Camp Association
- Data Entry: Experience with detailed and accurate data control and management.
- Advanced Excel Skills: Proficient in advanced Excel functions.
