Overview:
We are seeking a proactive, commercially minded professional to serve as both the primary assistant and strategic representative for a renowned artist. The ideal candidate combines executive support expertise with strong marketing, outreach, organizational and business-management skills, ensuring seamless coordination between creative projects and an expanding commercial presence.
Key Responsibilities
- Strategic Outreach & Representation
- Collaborate with the marketing team to design and execute outreach campaigns to galleries, collectors, corporate partners and media.
- Act as the artist’s ambassador in all external engagements, nurturing relationships and identifying new business opportunities.
- Executive Support & Operations
- Manage and optimize the artist’s daily calendar: appointments, studio time, meetings and travel logistics for exhibitions, art fairs and private viewings.
- Coordinate all correspondence (email, phone, mail), ensuring timely responses and follow-ups.
- Marketing & Commercial Coordination
- Partner with the digital team to plan content releases (social media, newsletters, press kits) that highlight ongoing work and events.
- Track and analyze campaign performance metrics, providing actionable insights for continuous improvement.
- Project & Event Management
- Assist in planning and executing exhibitions, pop-up shows and special events, liaising with venues, sponsors and vendors.
- Oversee studio operations: inventory management, procurement of supplies and general maintenance.
- Financial & Administrative Oversight
- Support budgeting, invoicing, expense tracking and basic financial reporting.
- Maintain organized records for artworks, contracts and key documents, handling confidential information with discretion.
- Research & Strategic Planning
- Conduct market research on industry trends, potential collaborators and sponsorship opportunities.
- Contribute to long-term strategic planning, helping to shape brand positioning and business growth.
- Personal Assistance
- Provide ad hoc personal support, such as errand running and coordination of personal appointments, as required.
Requirements
- Proven experience as an executive assistant, marketing coordinator or similar hybrid role.
- Strong commercial acumen with demonstrated success in outreach, partnership development or business development.
- Excellent organizational, time-management and interpersonal skills.
- Strategic thinker, able to balance day-to-day tasks with long-term planning.
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with CRM/marketing automation tools.
- Ability to prioritize effectively under pressure, with a high level of autonomy and attention to detail.
- Professional demeanor and capacity to maintain confidentiality.
