Facilities Manager

SUMMARY

The Facilities Manager coordinates the day to day operations of the Internally focused Equipment &

Facilities team. The Facilities Manager is responsible for fulfilling facilities support requests in both

a preventative and break-fix capacity. The Facilities Manager also ensures that appropriate

technical support and guidance is provided to Gimme! Coffee internal constituents. By openly

communicating task requirements to E&F team members, and actively communicating task timing,

issues, and other pertinent information to end users and their supervisors, the Facilities Manager

effectively coordinates the fulfillment of service requests at Gimme! Coffee. The Facilities Manager

also oversees the maintenance of the Gimme! Coffee vehicle fleet.

SUPERVISORY RESPONSIBILITIES

● This position has direct supervisory responsibilities.

ESSENTIAL DUTIES

Leadership (Major)

● Develops departmental strategy in collaboration with the Leadership Team, including key

tactics and projects that will help Gimme as a whole reach its objectives and key results.

● Coordinates project work with other departments to meet goals defined in the annual

operations plan.

● Constantly seek areas in which to improve cross-departmental collaboration and support.

● Collaborate with multiple departments to generate new ideas, reinforce cooperative

message, and delegate tasks to appropriate people to ensure timeliness.

● Maintain an awareness of industry-wide trends and market forces; work to develop and

maintain Gimme! Coffee’s position as an industry leader.

● Demonstrates an understanding of our annual operations plan (priorities, contingencies and

timelines), communicates opportunities and challenges to colleagues effectively through

quarterly updates and meetings.

● Demonstrates an understanding of our budget goals and reports, and contributes to

conversations about constraints and priorities.

● Exemplifies the mission, vision and values of Gimme Coffee.

● Demonstrates passion and enthusiasm for coffee, and ability to inspire others with the

same.

Communication (Major)

● Report substandard conditions & SOP violations to Supervisor, while coaching retail team as

appropriate.

● Review and respond to incoming tickets. Actively facilitate resolution of tickets through

clarifying questions, suggestions, detailed instruction.

● Provide ample process communication to manage stakeholder expectations.

● Maintain positive, professional communication with all members of the Krums & Retail

teams.

● Teach team members and outside stakeholders how to participate in equipment and

facilities maintenance.

● Facilitate skill E&F-related skill building sessions with the leadership team.

● Collaborate to create operational documentation that will promote transparency, foster

consistency, and enable team members to be better custodians of E&F.

● Recommend changes to process and SOPs to improve equipment and facilities outcomes.

● Leverage subject matter expertise to regularly make recommendations to Retail

Management team which would elevate the customer experience, improve the working

conditions, or preserve the assets of the company.

Facilities Project and Compliance Management (Major)

● Collaborate with E&F staff, Retail staff, and sub-contractors to coordinate, plan, and execute

small and large projects.

● Draft and present project budgets to the management team for approval. Ensure that

projects work within specified budget constraints.

● Lead the selection of and communication with outside vendors for services and specific

projects that are beyond the capacity of the E&F department.

● Collaborate with Retail, Bakery, Roasting, and Production teams to ensure compliance with

Food Service Modernization Act, Department of Agriculture and Markets, Department of

Health, and OSHA standards.

Maintain and Improve Gimme Equipment and Facilities (Major)

● Inspect equipment, buildings, and other structures to determine functional systems and

detect malfunctions and needed repair.

● Respond to building issues reported (climate control, odors, smoke, spills damage,

emergencies and repairs) in a timely manner, and promptly communicate resolution or

updates to affected employees.

● Perform minor electrical maintenance to include but not be limited to replacement or repair

of fixtures (e.g. wall switches and outlets, incandescent and fluorescent bulbs and tubes,

ballast, sockets, fuses, minor appliances, cords, etc.) using appropriate hand, power and

specialty tools.

● Perform minor plumbing maintenance (e.g. replacement or repair of leaks in drains and

faucets, unclogging of drains, trenching and laying new lines, replacing drain hoses on

washers and similar devices, etc.).

● Perform minor painting, carpentry and masonry work (e.g. preparing surfaces and using

brush, sprayer, or roller to apply paints, stains, and varnishes, hanging doors, fitting locks and

handles, etc.).

● Perform or schedule outside contractors for preventative and break-fix maintenance on

heating and cooling units, refrigerators, ice machines, and other aspects of equipment and

facilities at all Gimme! Coffee locations.

● Assist with furniture moving and furniture installation.

● Lead the response on routine and emergency E&F issues at our cafes

● Organize the work of the department based on incoming tickets, emails, and text requests.

Prioritize those requests and deploy the team to resolve issues.

● Respond to E&F emergencies after hours and deploy team or vendors as appropriate.

● Participate in the procurement process for fixtures, equipment, and other facilities needs.

Make recommendations and research purchases as needed.

Interdepartmental Duties (Minor)

● Provide backup equipment & facilities assistance to wholesale as needed

● Maintain the vehicle fleet

● Back-up delivery driving as needed.

Other Essential Functions

● Follows all policies and procedures set by Gimme! Coffee

● Performs other duties as requested by supervisor. The Employer retains the right to change

or assign other duties to this position.

QUALIFICATIONS

Knowledge, Skills, and Abilities

● Knowledge of coffee and kitchen equipment specs, calibration, troubleshooting,

maintenance, & repair.

● Knowledge of industry trends

● Knowledge and adherence to best practices regarding workplace safety

● Ability to provide leadership through communication

● Ability to patiently provide explanation to novices

● Basic computer skills (email, internet search, work-orders)

Experience, Education, and Training

● Experience with building systems maintenance.

● Valid NYS driver’s license.

PHYSICAL REQUIREMENTS & WORKING CONDITIONS

While performing the essential functions of this job, the employee is subject to the following

requirements:

● Physical activities: seeing, climbing, stooping, kneeling, crouching, reaching, standing,

walking, pushing, pulling, lifting, fingering, grasping, feeling, talking, hearing, and repetitive

motion.

● Physical requirements:

○ Medium work. Exerting up to 175 pounds of force occasionally, and/or up to 50

pounds of force frequently, and/or up to 30 pounds of force constantly to move

objects.

○ The worker is required to have visual acuity to determine the accuracy, neatness, and

thoroughness of the work assigned, operate machinery, and to make general

observations of facilities or structures.

○ The worker is frequently required to taste and smell coffee for evaluation purposes.

○ The worker is frequently required to drive to client sites and is occasionally required

to make an overnight stay.

● Working conditions: The worker is subject to occasional outside environmental conditions,

dusty and dirty conditions, noise, hazards (such as proximity to moving mechanical parts,

electrical current, and exposure to high heat), and is required to function in narrow aisles or

passageways.

● Tools used: coffee brewing and grinding equipment; sinks, refrigerators, and registers;

ladders and stairs; computers and office equipment; vehicles including cars and delivery

vans.

COMPENSATION

Pay range: $26-$32/hr. Gimme! Coffee offers a comprehensive compensation and benefits package. Gimme! Coffee is an Equal Opportunity Employer.

SCHEDULE

Monday-Friday, with occasional night and weekend availability for emergencies and scheduled events.
