Role Description The Records Specialist is a full-time, on-site role based in Black Hawk, CO. This position is responsible for creating, processing, and maintaining law enforcement records, reports, and documentation in accordance with legal and departmental standards. Day-to-day tasks include entering and updating data in records management systems, filing and retrieving documents, responding to information requests from authorized personnel and the public, and ensuring proper retention and disposal of records. The Records Specialist reviews documents for accuracy and completeness, reconciles data discrepancies, and prepares routine reports as needed. This role works closely with deputies, administrative staff, and external agencies while handling sensitive information with discretion and professionalism.
Qualifications
  • Demonstrated Records Management and Document Management skills for organizing, maintaining, and securing physical and electronic records.
  • Strong Analytical Skills and experience with Account Reconciliation to verify data accuracy and resolve discrepancies.
  • Effective Communication skills, including clear written and verbal communication with internal staff, external agencies, and the public.
  • Proficiency with office software and databases (e.g., word processing, spreadsheets, records management systems).
  • High attention to detail, strong organizational abilities, and capacity to manage multiple tasks in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information in compliance with laws and departmental policies.
  • High school diploma or equivalent required; additional coursework or certification in records management, criminal justice, or a related field is beneficial.
  • Prior experience in law enforcement, government, or legal records management is preferred.
