Accounts Payable/ Accounts Receivable Specialist

The AP/AR Specialist is responsible for managing accounts payable and accounts receivable processes, including invoice processing, payment applications, reconciliations, and maintaining accurate financial records. This position communicates with vendors and customers regarding billing, payments, account balances, and discrepancies while ensuring timely and accurate resolution of issues. The AP/AR Specialist supports the accounting team with month-end activities, reporting, and other financial tasks while maintaining confidentiality and compliance with company policies and procedures.

Skills & Abilities:

• Maintaining accounts receivable, documenting bills and supporting documentation.
• Maintaining bookkeeping databases and spreadsheets and updating information as needed.
• Collecting payments from customers and accurately recording them in the system
• Creating reports and balance sheets that document overall profits and losses.
• Updating client accounts based on payment or contact information.
• Maintaining accounts payable, ensure timely payment of invoices, confirming validity of the debt and gathering appropriate signatures.
• Maintaining relationships with vendors.
• Paying vendor invoices with checks, credit cards, and bank transfers.
• Analyzing accounts payable processes to find ways to increase efficiency.
• Investigating invoicing discrepancies.
• Managing payment schedules according to vendor agreements.
• Updating financial records via accounting software.
• Daily banking and bank deposits.
• Daily cash reconciliation.
• Analyzing financial statements and prepare balance sheets.
• Other duties as assigned.

Qualifications:

• Bachelor’s degree in accounting, finance, business, or other related field of study.
• 3 years’ accounting experience
• Proficiency with accounting software such as QuickBooks.
• Indepth understanding of accounting rules and practices, such as the Generally Accepted Accounting Principles (GAAP).
• Ability to work in spreadsheets, with knowledge of formulas and advanced functions, like pivot tables.
• Strong mathematical skills.
• Expert understanding of financial reports, including analyzing and creating them.
• Knowledge of tax regulations.
