Gill Primary Care is seeking a full-time Medical Office Manager to lead the administrative and clinical operations of our busy primary care practice site. The ideal candidate will be a proactive leader with strong organizational skills, capable of managing staff, ensuring efficient patient flow, and maintaining high-quality care standards at our Gill Primary Care location.
Key Responsibilities
Operational Management
- Oversee daily operations of the Gill Primary Care practice, including appointment scheduling, billing, and facility maintenance.
- Manage the practice budget and optimize resource allocation to enhance efficiency.
- Ensure compliance with local, state, and federal regulations, including HIPAA.
- Maintain adherence to quality improvement guidelines set by health plans, county, state, federal entities, and accredited auditing agencies.
Staff Supervision and Development
- Interview, hire, and train new and existing staff to meet practice needs.
- Assign and delegate tasks to clinical and clerical staff to support patient demand and provider schedules.
- Approve payroll, manage time-off requests, and optimize staffing levels.
- Conduct introductory and annual performance reviews, providing constructive feedback to support professional growth.
Patient and Provider Support
- Serve as the primary point of contact for patients, staff, and providers, addressing questions and resolving concerns.
- Collaborate with providers to meet productivity goals and address open encounters.
- Gather patient feedback and address complaints to enhance the patient experience.
Strategic Planning
- Develop and implement short- and long-term operational plans to improve practice efficiency.
- Utilize reports and dashboards to monitor and enhance overall practice performance.
- Coordinate supply ordering and stocking to ensure seamless operations.
Additional Duties
- Perform other responsibilities as assigned to support the practice’s goals.
Qualifications
- High school diploma or equivalent required.
- Bachelor’s Degree in Business or Health Management (preferred).
- Proven ability to oversee daily operations in a fast-paced medical environment.
- Five years of healthcare clinic management experience (preferred).
- Three years of technical experience in a healthcare setting (preferred).
- Experience with eCW or other Electronic Health Record (EHR) systems.
- Strong understanding of human resource management principles and practices.
- Ability to delegate tasks effectively and manage subordinates.
- Proficient with Microsoft Office Suite, including Microsoft Word (create and edit documents), Microsoft PowerPoint (create and edit slides), Microsoft Excel (create and edit spreadsheets), and email management.
- Strong computer skills, including knowledge of relevant healthcare software.
- Excellent communication and interpersonal skills to interact with patients, staff, and providers.
- Strategic thinking with the ability to see the big picture and drive organizational goals.
- Knowledge of medical billing, scheduling, and compliance with healthcare regulations.
- Commitment to maintaining confidentiality and adhering to HIPAA standards.
Work Environment
- Full-time position (M-F, 8am - 5pm)
- Collaborative work with medical and administrative staff to ensure high-quality patient care.
