Job Summary
Gill, McManamon & Diviney is seeking an experienced Secretary to join our growing general practice law firm in Huntingdon, Pennsylvania. We are an expanding firm with an increasing client base and are seeking someone who can step into a trusted, high-responsibility role as we continue to grow. This position will play a key role in supporting the firm’s continued expansion and day-to-day operations.

This is an in-office position in our Huntingdon office for a Secretary.

Full-time or part-time. We offer a professional, flexible, and stable work environment with long-term opportunity. Office closed on all federal holidays and from Christmas through New Year’s.

Compensation: Starting at $14 per hour, with higher pay available based on experience.

Duties

  • Answer multi-line phone systems with proper phone etiquette and provide exceptional customer service
  • Manage front desk responsibilities, including greeting visitors and directing inquiries
  • Utilize Microsoft Office Suite and Google Workspace for document creation, scheduling, and correspondence
  • Assist with calendar management and appointment scheduling for staff and clients
  • Assist with billing and invoicing
  • Provide customer support via phone or email, addressing inquiries promptly and professionally
  • Perform general administrative tasks including data entry, document proofreading, organizing files, and supporting personal assistant duties as needed

Skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with excellent time management abilities
  • Experience with office management, clerical duties, and administrative support
  • Ability to operate multi-line phone systems efficiently
  • Excellent typing speed and data entry accuracy
  • Strong proofreading skills to ensure error-free documents
  • Exceptional customer service skills with professional phone etiquette
  • Office experience in a fast-paced environment preferred; prior experience as a secretary or personal assistant is advantageous but not required

Job Types: Full-time, Part-time

Pay: $14.00 - $17.00 per hour

Expected hours: 24 – 40 per week
