Sr. Project Manager - Luxury Retail Environments

Gilbert
Melville, NY Full Time
POSTED ON 5/29/2026
AVAILABLE BEFORE 6/27/2026

At Gilbert, we create exceptional architectural interiors and immersive environments for the world's most discerning luxury retail brands. As a boutique firm known for craftsmanship, creativity, and white-glove service, we transform complexity into beauty — one meticulously managed project at a time.

ABOUT THE ROLE:

We are looking for a Senior Project Manager who takes full ownership of complex, custom projects — from pre-construction through final delivery. You will serve as the strategic linchpin between our clients, design team, fabricators, and vendors, ensuring every detail arrives on time, on budget, and above expectation.

You don't just manage the schedule — you understand what's being built. Your fluency in fabrication methods, materials, and architectural drawings means you can have substantive conversations with craftspeople, catch problems in the shop drawings before they reach the floor, and make fast, informed decisions when something needs to change.

RESPONSIBILITIES:

  • Full project lifecycle: End-to-end execution of assigned projects — scope, schedule, budget, stakeholder alignment, and final delivery.
  • Scheduling & accountability: Build and maintain detailed Gantt-based project timelines; hold all internal and external stakeholders to deadlines with clarity and confidence.
  • Material take-offs & procurement: Perform take-offs from design drawings and specifications; coordinate timely procurement of materials and services across vendors and fabricators.
  • Technical Drawing Review & Fabrication Oversight: Read and interpret architectural drawings, shop drawings, millwork details, and finish schedules. Identify constructability issues, discrepancies, or spec gaps early — and communicate them clearly to design and fabrication teams.
  • Client relationship management: Serve as the primary client point of contact — anticipate needs, manage expectations, and deliver a premium, white-glove experience at every touchpoint.
  • Cross-functional leadership: Lead regular meetings across Design, Drafting, Fabrication, and Account Management to maintain alignment and surface issues early.
  • Site surveys & installation oversight: Travel to client sites for pre-construction surveys, logistics coordination, and on-site project oversight.
  • Documentation & change management: Maintain accurate project documentation including RFIs, change orders, meeting notes, material submittals, and punch list resolution.
  • Quality control: Partner with fabrication and installation teams to ensure quality at every stage, from build through final punch.

REQUIREMENTS:

  • 7–12 years managing projects in custom fabrication, luxury retail interiors, branded environments, trade show, or high-end commercial construction
  • Demonstrated track record of delivering complex, multi-vendor projects on time and on budget
  • Strong material quantity take-off skills and fluency reading architectural/fabrication drawings
  • Proficiency with project scheduling tools — Gantt-based platforms such as Smartsheet, MS Project, or similar
  • Working knowledge of AutoCAD and Microsoft Office Suite; familiarity with Monday.com or equivalent PM software a plus
  • Exceptional cross-functional communication — equally effective with designers, fabricators, site crews, and C-suite clients
  • Willingness and ability to travel to job sites as project needs dictate
  • PMP or equivalent certification a plus, not required
