Duties
- Greet visitors, clients, and staff with a friendly, professional demeanor, ensuring they feel welcomed and valued
- Manage multi-line phone systems, directing calls accurately and courteously while providing excellent customer support
- Handle incoming correspondence, emails, and inquiries promptly and efficiently
- Maintain front desk appearance, including filing, organizing documents, and managing supplies to ensure a tidy workspace
- Support office management tasks such as calendar management, appointment scheduling, data entry, and basic bookkeeping using QuickBooks or similar tools
- Assist with clerical duties including proofreading documents, data entry, filing, and maintaining accurate records
- Use computer skills to operate Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative functions
Requirements
- Proven experience in front desk or office management roles with strong organizational skills
- Excellent phone etiquette and customer service skills with the ability to handle multiple tasks simultaneously
- Bilingual abilities are highly preferred to effectively communicate with diverse clients and visitors
- Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping software such as QuickBooks
- Strong organizational skills with attention to detail in proofreading, filing, and record keeping
- Experience with multi-line phone systems and calendar management tools
- Personal assistant or administrative experience is a plus to support varied office functions effectively
- Ability to work efficiently under pressure while maintaining a positive attitude in a fast-paced environment
