Ghirardelli Associates is currently looking to hire a Division Director for our Sacramento/Central California Division. This is an opportunity to work with an experienced team of professionals!

Position Summary

A Division Director is responsible for managing the Division of Ghirardelli and a portfolio of construction projects within the division. In this position, they are responsible for the entire performance of the division against certain metrics. The Division Director is also responsible for all the projects within the division and their success through all phases of the project lifecycle; from preconstruction to project closeout, including such activities as contract negotiations, cost estimates, constructability reviews, schedule and budget development, staffing, and project kick-off/partnering sessions, safety and health program, quality assurance, communications and ongoing project planning and execution. This role requires the capacity to effectively resolve issues; manage resources, meetings, schedules, and budgets; oversee timesheets, accounting, and billing; as well as coordinate and communicate with clients, consultants, subcontractors, suppliers, team members and other stakeholders. Additionally, a Division Director provides any necessary training, mentoring, or coaching to team members to ensure their success. Division Director will work collaboratively with the Vice President of Operations, Vice President of Marketing and Business Development, Director of Human Resources, Director of Marketing, and Controller to execute job duties. The Division Director reports to the Executive Committee on the performance of the Division against the annual Division metrics.

Success in this role requires meeting the stated Division objectives. As company ambassadors, Division Directors are expected to execute in alignment with the company’s goals, established standard operating procedures, and core values.

Duties And Responsibilities

Strategy: Implementation of Vision, Goals Core Values

  • Assist in the development of strategic plans for the company. Implement and manage operational plans focused on the goals of the company.
  • Foster the company’s core values throughout the company operations unit.

Business Development / Client Relations

  • Develop and implement a viable market plan in cooperation with the Business Development team and the Executive Vice President that:
    • Provides a budgeted and agreed return on investment.
    • Supports Ghirardelli’s growth targets for the year and the roiling 5-year plan.
    • Supports the Ghirardelli strategic objectives of diversification of clients and sectors.
    • Provides controlled and sustainable growth and revenues in the range agreed per year in the Divisional Metrics.
    • In conjunction with Business Development and other Division Directors and Business line leads, promote Ghirardelli and our complete service offerings at conferences, speaking engagements, etc.
    • Develop and maintain relationships with key clients.
    • Generate project/business opportunities and submit proposals and statements of qualification on opportunities that are in line with the Market plan and the company’s strategic direction in these sectors.
    • Identify other viable business and cross market and cross division opportunities and work as one with other Divisions to achieve the overall company goals.
    • Lead the effort on proposals. Write/edit proposals sections as needed.
    • Control budgets and monitor the return on investment for the development of the business in each sector/client.
    • Work with cross-functional teams to build strategic relationships, shape & grow opportunities, & win work.
    • Seek customers in target markets through research and direct contact.
    • Solicit customer feedback through the project proposal and execution phases.

    Project Management – Operational Excellence

    • Manage the Division and a portfolio of projects within the respective project scope, budget, and schedule. Technical and /regulatory issues may involve civil engineering, permitting including, drilling, and soil excavation/grading/disposal CEQA & NEPA compliance, NPDS compliance, Cal OSHA regulations, and right of way permits.
    • Track the progress of projects by defining and monitoring metrics for schedule monitoring, budget tracking and forecasting, and resource management over the life of each project.
    • Provide an appropriate level of oversight for quality assurance of the project teams’ work with specific attention to proper documentation procedures, quality and timeliness of deliverables, and progress towards meeting the clients’ expectations.
    • Provide risk management and value engineering services for projects by reviewing project documents including preliminary studies, feasibility reports, engineering reports, environmental documents, and funding estimates to identify potential risks to project’s objectives, and identifying tradeoffs associated with potential changes to the project’s objectives.
    • Coordinate with multiple disciplines, such as estimating, construction, environmental, operations, maintenance, land and right of way, and public relations.
    • Ensures that project reviews are conducted, especially with jobs that have potential for significant overruns, and proactively addresses challenges and opportunities.

    Staff Management Training

    • Provide leadership, clear direction, expectations, and ongoing feedback to project teams in the division.
    • Provide any necessary training, coaching, and mentoring to project team members, including but not limited to standard operating procedures and protocols, documentation, core values, software tools, client relations, and the pursuit of work.
    • Prepares salary adjustments and promotion recommendations.
    • Develop and manage career development for all Division Staff while supporting training that is in line with the Associates goals and the company goals.

    Staff Recruitment
  • In collaboration with Executive leadership organize strategic recruitment and placement of required staff to expand the company’s expertise, experience, and capacity.
    • Seek and recruit quality team members to expand the company’s expertise, experience, and capacity against the division plans/projects/client's needs and company diversification and growth plans.
Safety Management

  • Promotes an environment that focuses on safety as a top priority.
  • Provides oversight of safety programs within their region.
  • Coordinates with other company executives, other directors, and corporate safety officer to identify safety issues and implement policy changes.

Finance: Accounting/Budgets

  • Prepares annual budgets and at least quarterly forecast for their region including all offices. Proactively addresses variances from agreed financial performance goals including key performance metrics. Reviews proposed contracts for compliance with company standards before they are executed.
  • Develop job estimates, and documentation in support of job estimates, including working papers, project descriptions and project economics summaries in support of rate case filings or testimony.
  • Support partners and client Division Directors by implementing project reporting and forecasting tools in the form of project reports, staffing reports, staffing and budget forecasts, and project funding estimates in accordance with client’s project management procedures.

Finance: Risk Management/Cash Flow

  • Report on and meet or exceed agreed revenue, profit, utilization, and effective labor multiplier targets set for the Division.
  • Ensure invoices are submitted correctly and accurately without need for revisions.
  • Meet or exceed targets for maximum “days in WIP” and maximum “days in AR.”
  • Ensure that the company does not work at risk (without a funding document/contract) without the express authorization of the Executive Committee.

Contract Administration

  • Monitor the progress of work for changes to the scope of work. Prepare or review requests for changes to the scope of work and ensure changes are fully reviewed, and approved changes are incorporated into the budget and schedule forecasts.

Desired Skills And Qualifications

  • BS or BA degree in civil engineering, project management, or construction management or related field.
  • MS degree in civil engineering, project management, construction management, or related field preferred.
  • 10 to 15 years of relevant professional experience in project management and civil engineering related to construction.
  • Project Management Professional (PMP) Certification a plus.
  • Registered CA Professional Engineer’s License a plus.
  • Demonstrated strong team leadership skills on successfully delivered, large-scale and/or complex projects.
  • Demonstrated understanding of planning and scheduling techniques including earned value management.
  • Strong familiarity with construction contracts, specifications, relevant codes, and practices.
  • Demonstrated experience with project proposal and report preparation, presentation skills, mentoring and teaching team members.
  • Successfully managing complex projects with unrealistic schedules and impractical budgets
  • Excellent client interaction and presentation skills required.
  • Strong experience and ability to problem solve and manage conflict.
  • Strong skills to plan, organize, multi-task, prioritize, and execute.
  • Microsoft Office experience, including strong proficiency in Excel.
  • Excellent influencing, mentoring and coaching skills.
  • Excellent time management skills and ability to work under pressure.
  • Excellent oral and written communication.
