Responsibilities
- Greet visitors, clients with professionalism and warmth and provide excellent phone etiquette.
- Manage the front desk area, including scheduling appointments, handling incoming calls, and directing inquiries efficiently.
- Oversee calendar management for appointments, ensuring all schedules are coordinated seamlessly.
- Coordinate event planning activities such as office celebrations, training sessions, or community outreach events to foster team engagement.
- Maintain accurate filing systems—both digital and physical—ensuring confidentiality and easy retrieval of documents.
- Handle vendor management tasks including invoicing, purchase orders, and maintaining good relationships with suppliers.
- Assist with human resources functions such as onboarding new employees, managing payroll processes using ADP or similar software, and supporting employee recordkeeping.
- Support office budgeting and bookkeeping activities to monitor expenses and ensure financial accuracy.
- Oversee general office supplies inventory and place orders as needed to keep the workspace fully stocked.
- Manage office equipment maintenance and coordinate repairs or replacements promptly.
Requirements
- Proven experience in office management or administrative roles within a professional environment.
- Excellent organizational skills with keen attention to detail; capable of multitasking in a busy setting.
- Familiarity with calendar management tools, and basic bookkeeping.
- Experience in event planning, vendor management, and human resources functions is highly desirable.
- Knowledge of payroll processing, budgeting, filing systems, and clerical procedures.
