Summary The Patient Pay Specialist is responsible for managing patient accounts with self-pay balances, billing, collection, account resolution, and communication with patients regarding their financial responsibilities. This role ensures timely and accurate billing and provides excellent customer service to patients regarding billing inquiries. Base Range: $20 - $22/hr (DOE) Location: This position will ideally be based in Plano, TX but is not a requirement Schedule: (Remote) Monday - Friday, 8:00am - 4:30pm CST Essential Duties and Responsibilities include the following. Other duties may be assigned, as necessary. Monitor and manage patient accounts with outstanding self-pay balances. Explain bills, charges, and payment options to patients in a clear, professional and timely manner. Ensure accurate billed charges do not exceed negotiated or contractual pricing where indicated. Refer patients for financial assistance when applicable. Ensure patient statements are uploaded into Waystar Patient Notebook according to company policy. Assist with setting up patient payment plans in Patient Notebook or collecting payments in accordance with insurance responsibility and patient quotes given at start of care. Maintain detailed documentation of all communications and payment activities in EHR system. Clearly communicate any billing-related issues to all appropriate parties including Intake, Collections, and Manager. Review self-pay undistributed cash and credit balances and provide refunds to patients as necessary or submit cash distribution request for accuracy. Respond to patient inquiries related to their balances, statements and insurance adjustments/payments. Maintain current knowledge of departmental and organizational policies. Work closely with other departments (e.g. billing, cash posting, intake, PCCs, patient support, collections, etc.) to resolve account issues. Consistently represents the company in a professional manner. Maintains effective working relationships and cooperates with all personnel in the Company. Ensure compliance with all HIPAA, federal, state and organizational regulations regarding confidentiality and billing practices. Adheres to the Company’s compliance requirements as stated in the policy and procedure manual and all other related policies.
