Client Service Associate
Position Summary
The Client Service Associate supports the financial advisors and clients by managing daily administrative tasks, ensuring smooth operations, and maintaining efficiency with paperwork and software systems.
Key Responsibilities
- Serve as the primary point of contact for client inquiries via phone, email and in-person.
- Deliver exceptional client experience by responding promptly, professionally, and accurately.
- Prepare, assist, and process client account paperwork ensuring all required forms are completed fully and error-free.
- Maintain precise client records in Redtail CRM and custodian platform.
- Support daily office operations such as scanning, document management and maintaining multiple calendars.
- Collaborate with Advisors and team members to streamline processes and improve efficiency.
Required Knowledge, Skills & Experience
- BA or BS preferred
- Experience with financial services, wealth management, or a similar professional services environment preferred.
- Familiarity with investment accounts (IRAs, Roth IRAs, taxable accounts), paperwork requirements, and basic financial concepts.
- Strong attention to detail and accuracy—especially when handling client data and paperwork.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- A self-starter who can work independently.
- Professional, warm, and client-focused demeanor and ability to build strong relationships with clients and maintain trust.
- Strong critical-thinking skills; able to troubleshoot custodial or account issues quickly.
- Proficient in Microsoft Office (Outlook, Word, Excel, Teams, OneDrive).
- Familiarity with platforms such as DocuSign, Adobe, Redtail, Dropbox and Zocks AI a plus.
