We are seeking a highly organized and proactive Executive Assistant and Office Manager to join our dynamic team in Boston, MA. This pivotal role will support senior executives while ensuring the seamless operation of our office environment. Key Responsibilities

  • Serve as the first point of contact for employees, clients, and VIP visitors at the reception desk, creating a welcoming atmosphere.
  • Uphold a high standard of confidentiality and professionalism while managing sensitive information.
  • Prepare presentations, documents, and communications with proficiency in Microsoft Office Suite.
  • Take detailed notes during confidential meetings as needed and assist in managing executive calendars with a focus on prioritizing key deliverables.
  • Coordinate domestic and international travel arrangements efficiently.
  • Oversee office organization, including maintaining supplies and ensuring that conference rooms and workspaces are orderly.
  • Manage office security protocols, including visitor access and monitoring systems.
  • Facilitate the onboarding process for new employees by handling ID badge distribution and workspace setups.

Required Skills

  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
  • Exceptional multitasking abilities with a keen attention to detail.
  • Strong grammar skills and the capacity to handle confidential information discreetly.
  • Highly organized with excellent interpersonal skills, demonstrating a proactive and positive attitude.
  • Typing proficiency of at least 70 words per minute.

Qualifications

  • Bachelor's degree or equivalent experience in an administrative or military context.
  • A minimum of 2 years of experience in an administrative or executive support capacity is required, with a preference for 5 years.
