Job Overview

We are seeking a meticulous and highly organized Executive Assistant & Office Manager to provide exemplary support to our executive team while ensuring seamless office operations. This position is ideal for someone who excels in a dynamic environment, showcasing strong multitasking abilities and a commitment to confidentiality.

Key Responsibilities

  • Serve as the first point of contact for employees, visitors, and executives, delivering outstanding customer service at the reception desk.
  • Maintain professionalism and confidentiality in all interactions.
  • Draft presentations, communications, and other critical documents for executive-level meetings.
  • Take comprehensive notes during confidential meetings as required.
  • Manage and prioritize multiple executive calendars, ensuring all critical deliverables are met.
  • Organize domestic and international travel logistics seamlessly.
  • Oversee the organization of office supplies, conference rooms, and communal areas.
  • Manage security operations, including visitor access, ID badge distribution, and monitoring security systems.
  • Facilitate onboarding for new employees by preparing workspaces and sharing essential office information.

Required Skills

  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Exceptional multitasking capabilities and ability to meet deadlines.
  • Strong attention to detail accompanied by excellent grammar skills.
  • Highly organized with superior interpersonal and communication skills.
  • A proactive and positive attitude—capable of handling tasks of varying sizes with ease.
  • Typing speed of a minimum of 70 WPM.
  • Ability to uphold the confidentiality of sensitive information.

Qualifications

  • A Bachelor's degree or equivalent experience in military or professional settings.
  • A minimum of 2 years of experience in an administrative or executive support capacity is required, with 5 years preferred.
