Germanna Community College is a public, open access institution of higher education in the Virginia Community College System. Germanna Community College is centrally located in Fredericksburg, VA between Washington D.C. and Richmond and between the Blue Ridge mountains and the Chesapeake Bay. Germanna Community College is seeking a dedicated Part-Time Admissions Onboarding Specialist to guide students through the admissions process, from application through registration. The Admissions Onboarding Specialist plays an integral part in providing high-quality service to enable prospective students to navigate college onboarding processes successfully. The ideal candidate will deliver high-quality, student-centered service, ensuring a seamless onboarding experience through a holistic, case management approach. Collaboration with academic departments and student services is essential to supporting prospective, new, and continuing students.
Please Note: This position is based at the Fredericksburg Area Campus and splits time with the Stafford County Center. Occasional travel and evening or weekend work may be required.
Key Responsibilities:
- Serve as the primary point of contact for new students, reducing service fragmentation and ensuring quality care throughout the enrollment process.
- Support students from initial inquiry through enrollment using a case management approach that emphasizes communication, follow-up, and personalized assistance.
- Monitors the progress of prospective students and applicants during the enrollment process, promptly addressing inquiries and providing comprehensive information about Germanna Community College’s career and educational pathways, as well as the enrollment process.
- Collaborate with college colleagues to help students complete financial aid requirements, set up payment plans, and prepare for advising appointments.
- Verify student eligibility and enrollment readiness by reviewing academic plans, domicile status, transcript evaluations, and other admissions criteria.
- Guide students in accessing and navigating college systems such as myGCC, Navigate, and Lumens, and ensure completion of required orientation and advising steps.
- Maintain accurate records of student progress and application status to support compliance, reporting, and continuous process improvement.
- Coordinate communication between departments to ensure a smooth, student-centered admissions and onboarding experience.
- Engage in ongoing professional development, including training on Germanna’s Culture of Care and advising tools, to enhance knowledge, service quality, and student support.
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
- Professional experience in higher education enrollment services, admissions, or academic advising, with a demonstrated understanding of admissions processes, policies, and guidelines.
- Ability to analyze complex issues and make informed, well considered recommendations
- Strong communication, interpersonal, and problem-solving skills.
- Proficiency in Microsoft Office and database management.
- Demonstrated customer service experience with the ability to handle stressful situations professionally.
- Bilingual proficiency (Spanish preferred).
- Experience with case management approaches and student information systems (e.g., PeopleSoft, Salesforce).
- Familiarity with selective admissions processes and financial aid systems, including FAFSA.
- Knowledge of Germanna Community College’s academic and workforce programs.
Travel between campuses may be required.
