Duties

  • Greet visitors and manage front desk responsibilities with professionalism and warmth, creating a positive first impression.
  • Answer multi-line phone systems promptly and courteously, directing calls efficiently using proper phone etiquette.
  • Maintain organized filing systems—both physical and digital—ensuring quick retrieval of documents when needed.
  • Perform general clerical duties such as photocopying, proofreading documents, and preparing correspondence.
  • Support bookkeeping activities using QuickBooks for invoicing and expense tracking.
  • Assist with office management tasks including supply inventory, equipment maintenance, and vendor communication.
  • Provide excellent customer service by addressing inquiries via phone or email with professionalism and patience.
  • Support administrative projects such as proofreading reports, managing personal assistant duties, or coordinating special events as required.
  • Ensure compliance with office policies while maintaining confidentiality of sensitive information.

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in basic computer literacy.
  • Familiarity with multi-line phone systems and excellent phone etiquette for professional communication.
  • Experience with QuickBooks or bookkeeping software is highly desirable.
  • Strong typing skills with attention to accuracy; ability to proofread documents thoroughly.
  • Exceptional organizational skills to manage calendars, files, and multiple priorities efficiently.
  • Customer service experience demonstrating patience, clarity, and problem-solving capabilities.
  • Knowledge of office management best practices including supply ordering and vendor relations.
  • Ability to handle data entry tasks swiftly while maintaining high accuracy standards.

Pay: $25.00 - $28.00 per hour

Expected hours: 30.0 per week
