Department Information
The Engineered Biosystems Building I (EBB) serves as the focus for Georgia Tech's efforts to improve human health through an enhanced understanding of complex living systems. The building has co-located and integrated faculty and students from the Colleges of Sciences and Engineering. The research focuses on molecules, cells, organisms, and populations as a composite of the dynamically interacting biological systems and pathways. Together, they control the manifestation of disease and determine the state of health. EBB is a shared services multidisciplinary organization. This position will operate in a shared services environment supporting multidisciplinary faculty and their research groups.
This position will share an office with one person.
This position is currently 25%-50% remote (subject to change).
Job Summary
Perform and coordinate administrative and financial support activities required by assigned faculty member(s) and associated research group(s). This position will interact on a consistent basis with: assigned faculty, research group staff and sponsors. This position typically will advise and counsel: research group staff. This position will supervise: NA.
Responsibilities
Job Duty 1 -
Coordinate proposal preparation and submission (data collection, tracking of statistical information, routing, editing).
Job Duty 2 -
Compile information, confer with appropriate staff and prepare drafts of correspondence and reports.
Job Duty 3 -
Process check requests including support documentation. Coordinate monthly purchases statement reconciliation. Enter purchase orders through accounting system.
Job Duty 4 -
Assist PI's regarding interpretation and application of administrative policies and procedures .
Job Duty 5 -
Liaise with financial office in coordinating oversight of sponsored project activity.
Job Duty 6 -
Coordinate hiring process for assigned group by assembling personnel forms and arranging transportation and accommodation for new employees.
Job Duty 7 -
Coordinate and participate in visits, meetings, seminars and video conferences.
Job Duty 8 -
Maintain faculty calendars. Prepare and update faculty CVs and bio-sketches; update faculty members' database.
Job Duty 9 -
Perform other duties as assigned
Required Qualifications
Educational Requirements
Bachelor's Degree or an equivalent combination of education and experience
Required Experience
Five to seven years of job related experience
Preferred Qualifications
University experience, particularly in an academic research environment
Knowledge, Skills, & Abilities
This job requires working knowledge of administrative support processes required for an academic/research group within a university environment. Included are skills in financial record keeping, report writing, communications and customer service. Use of office and specialized computer applications and systems is required.
Knowledge, Skills, & Abilities
Preferred Skills: Organization skills highly desired. This job requires great attention to detail, being proactive, being a team player, and problem solving skills. Working knowledge related to support of research project teams with specific experience in grant accounting, budgeting and reporting is preferred as are skills in records management, conference and event planning.
Additional information: This position operates in a multidisciplinary, shared services environment and supports cross-functional teams from different colleges within the Institute. This position will share an office with one person.
