Position Summary

The Senior Practice Manager is a senior operational leader responsible for overseeing physician practice operations across multiple office locations, with primary responsibility for the Thomasville practice. This role also supports additional regional sites as needed to ensure consistent workflows, staffing support, patient service, and operational execution.

Working closely with physicians and operations leadership, the Senior Practice Manager is responsible for efficient practice operations, teammate performance, financial stewardship, patient satisfaction, regulatory compliance, and continuous process improvement. This role combines strategic leadership with hands-on operational support and serves as the senior administrative leader for assigned locations.

Key Job Responsibilities

1. Multi-Site Operations Leadership

  • Oversee operations across multiple clinic locations, with primary responsibility for the Thomasville office.
  • Ensure consistent workflows, staffing, scheduling, and service standards across assigned locations.
  • Manage daily front-office and administrative operations while coordinating clinical support functions.
  • Monitor provider scheduling and resolve operational barriers affecting patient access and physician productivity.
  • Lead implementation of new workflows, technology enhancements, and operational standardization initiatives.
  • Monitor and improve key operational performance indicators including patient access, provider productivity, scheduling efficiency, patient satisfaction, staffing levels, and financial performance.

2. Tactical & Hands-On Practice Support

  • Maintain visible onsite leadership presence and provide direct support during staffing shortages or high-volume periods.
  • Provide direct operational support during staffing shortages, vacations, or periods of high patient volume, including front desk, scheduling, referral coordination, or other critical workflows.
  • Troubleshoot day-to-day operational issues in real time.
  • Ensure timely handling of patient communications, appointment reminders, and service recovery concerns.
  • Support timely completion of referrals, lab follow-up workflows, dictation, and documentation processes.

3. Team Leadership & Staff Performance

  • Lead, coach, and develop frontline teammates, including administrative staff, coordinators, and medical assistants.
  • Recruit, hire, onboard, and develop high-performing teammates.
  • Conduct performance evaluations, coaching conversations, and corrective action, when needed.
  • Build a positive, accountable, service-oriented workplace culture.
  • Manage staffing, scheduling, attendance, PTO, overtime, and labor productivity.
  • Partner with leadership and HR on teammate relations matters.

4. Budget & Administrative Management

  • Manage operating expenses in alignment with approved budgets.
  • Monitor labor utilization, staffing costs, and controllable expenses.
  • Oversee purchasing of office and clinical supplies.
  • Assist with annual budget development and monitor ongoing performance against financial targets.
  • Identify operational efficiencies and cost-saving opportunities.

5. Revenue Cycle & Practice Administration

  • Partner with revenue cycle teams to support timely charge capture, claim resolution, collections, and reimbursement.
  • Monitor copay collection processes and insurance eligibility verification.
  • Ensure administrative workflows support clean claims and timely reimbursement.
  • Maintain expertise in EHR, practice management systems, and reporting tools to support staff and operations.

6. Physician Partnership & Strategic Execution

  • Serve as the operational liaison to physicians and providers.
  • Translate organizational and physician priorities into effective operational plans and measurable execution.
  • Recommend improvements to workflows, staffing models, scheduling, and patient access.
  • Support onboarding of new providers and integration into clinic operations.
  • Proactively resolve physician concerns impacting practice efficiency.

7. Compliance, Quality & Patient Experience

  • Ensure adherence to clinic policies, healthcare regulations, privacy standards, and operational procedures.
  • Promote a high standard of patient service and professional communication.
  • Conduct routine operational audits and monitor compliance with established policies and procedures.
  • Maintain readiness for internal reviews and regulatory inspections.

Qualifications

  • High school diploma or GED required.
  • Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred.
  • Five or more years of progressively responsible healthcare practice management experience, preferably within a physician group or multispecialty practice.
  • Experience managing multiple practice locations preferred.
  • Strong understanding of physician practice operations, scheduling, revenue cycle processes, regulatory compliance, and patient service.
  • Demonstrated experience leading, coaching, and developing high-performing teams.
  • Strong financial, analytical, organizational, and problem-solving skills.
  • Excellent interpersonal, communication, and relationship-building abilities.
  • Proficiency with electronic health record (EHR), practice management, and Microsoft Office applications.

Pay: From $95,000.00 per year
