Job Summary
The Office Coordinator provides comprehensive administrative and operational support to the Director of Montessori Academy, serving as a key liaison between families, staff, and university administration while ensuring compliance with state licensing requirements and maintaining efficient daily operations.
Responsibilities
Administrative & Operational Support - 25%
Support Center Director with scheduling, communications, and correspondence
Manage calls, emails, appointments, and facility tours
Maintain filing systems and prepare reports and presentations
Order and inventory supplies and equipment
Coordinate maintenance requests and special event preparation
Enforce visitor sign-in procedures
Research process improvements
Compliance & Safety - 25%
Track incident reports and medication logs
Monitor emergency preparedness documentation
Maintain emergency contacts for all children
Family & Staff Communications - 25%
Serve as primary contact for family inquiries
Distribute newsletters and announcements
Foster positive family-center relationships
Track training hours and certification requirements
Order supplies and support administrative needs
Maintain schedules and substitute coverage records
Enrollment, Records & Database Management - 25%
Process applications, enrollment paperwork, and wait-list communications
Verify required documentation and maintain current student records
Coordinate enrollment changes and classroom transitions
Ensure files meet Georgia College compliance requirements
Maintain student management system (ProCare or equivalent)
Generate reports and update family contact information
Provide technical support and coordinate with IT
Required Qualifications
Educational Requirements
High school diploma or equivalent required
Required Experience
Minimum 2-3 years of administrative experience
Experience in childcare, education, or university settings preferred
Experience with student information systems and database management
Preferred Qualifications
