To succeed as the Assistant, you should possess the following skills and attributes:
- Bachelor’s degree required.
- 1–2 years of administrative experience preferred.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Ability to work independently, manage multiple priorities and handle confidential information with discretion.
- Highly organized with exceptional attention to detail and follow-through.
- Proactive, resourceful, and driven by a "make it happen" mindset.
- Strong judgment, professionalism, and integrity.
- Collaborative team player with excellent communication skills.
- Flexible to work occasional non-traditional hours as needed.
Key Responsibilities
Executive Support
- Manage the Vice President’s calendar, priorities, and daily schedule, ensuring readiness for meetings and events.
- Coordinate meetings and events, including scheduling, attendee communication, agenda preparation, meeting materials, and follow-up actions.
- Arrange and manage domestic travel logistics.
- Process contracts, expense reports, invoices, and other administrative documentation.
- Support communication and coordination with external partners and stakeholders.
- Assist with special projects, process improvements, and department initiatives.
Team Support
- Monitor project progress, track deadlines, and elevate potential risks or areas of concern.
- Coordinate team communications and action items to ensure timely follow-through.
- Support, coordinate, or lead administrative and operational projects as needed.
- Provide primary support for team meetings, including scheduling, documentation, action item tracking, and follow-up.
- Prepare, proofread, edit, and distribute reports, presentations, correspondence, meeting minutes, and other materials.
- Collaborate closely with administrative partners across the organization to ensure alignment and operational efficiency.
