ROLE SUMMARY:

The Director of Facilites will be responsible for the day-to-day operations of a 3,500-unit residential portfolio across 4 boroughs: Brooklyn , Queens, Manhattan, Bronx. Some of those responsibilities will entail but are not limited to oversight of major capital work, contract management, Local Law /DOB/HPD Compliance, annual budgeting, regular building inspections, maintenance staff training . Responsibilities may also include facilitating special projects assigned by upper management.

CORE RESPONSIBILITIES:

  • Prepare bid packages; collect and level bids, conduct vendor walkthroughs, track follow-ups.
  • Prepare contract documents in accordance with company guidelines.
  • Track project progress (change orders, completion percentage, spend percentage, total costs).
  • Handle all Local Law (LL) compliance (LL11, LL97, LL126, LL152, LL84, LL87, etc): coordinate inspections and any LL related capital/repair projects assuring that work and inspections are completed timely to avoid fines
  • Conduct regular inspections and quality checks to ensure that contractors’ work meet pre-established standards and specifications.
  • Inspect buildings regularly and develop a preventative maintenance routine.
  • Oversee the inspections of resident’s units such as move-ins, move-outs, or annuals.
  • Maintain an inventory of supplies and tools sufficient for providing the appropriate level of service; assure that all orders are approved by property management before being placed. .
  • Assist with the annual budgeting process (capital expenditures, repairs maintenance).
  • Monitor building code violations and oversee corrections (Including DOB, DEP, DHCR, DOH, HPD)
  • Coordinate with external contractors and suppliers to ensure timely delivery of materials and services.
  • Track service contract dates and monitor expirations, negotiate annual increases.
  • Track contractor insurance coverage and monitor expirations.
  • Track work orders, add notes to, and close maintenance requests.
  • Ensure safety standards including environmental procedures, lockout/tagout, mold awareness programs, safe work practices, and emergency response procedures are maintained.
  • Establish repair/maintenance schedules for written property and preventive maintenance program and ensure they are adhered to
  • Attend and complete all required safety trainings, staff development programs, and staff meetings, provide maintenance staff trainings as needed.
  • Foster a work environment that promotes energy conservation and continuous improvement of engineering functions.
  • Handle emergency calls during non-business hours when applicable.

WORK ENVIRONMENT AND PHYSICAL DEMANDS:

  • Indoor and outdoor hi-rise maintenance environment consisting of, but not limited to, exposure to moving mechanical parts, heights, toxic or caustic chemicals, pets, and loud noises.
  • Must be able to endure walking, squatting, bending, balancing, climbing, kneeling, crawling and prolonged standing.
  • Vision requirements include both close range and long distance vision.
  • Must be able to lift 50 lbs. independently and assist in lifting weights exceeding 50 lbs.
  • Must be able stand for extended periods of time (4-6 hours per shift) and lift tables, chairs, etc.
  • Must be able to climb ladders and crawl into confined spaces.
  • Must be able to utilize power and hand tools.

REQUIREMENTS AND QUALIFICATIONS:

  • Bachelor's or Associate degree required
  • 5-7 Years of recent hands-on related experience in the property management industry
  • 2-3 Years of Supervisory experience
  • Facilities/Operations experience with strong working knowledge of building systems and NYC Local Codes/Laws.
  • Must have strong technical understanding of all building equipment, fire systems, and mechanical systems.
  • Proficiently skilled in plumbing, electrical, mechanical, and basic construction
  • Proficient with Excel for project management and budgeting
  • Excellent client service, positive, friendly, outgoing, and attentive demeanor
  • Strong communication skills, interpersonal skills and problem-solving skills
  • Ability to manage multiple projects and work independently and with others.
  • Strong organizational, time-management, and supervisory skills with attention to detail.
  • Comprehensive knowledge of industry standard software systems (Yardi, BMS, BuildingLink, LogCheck, Procore, etc.)
  • Must be able to respond to emergencies and work 40 hours per week with flexible hours including nights, weekends, and holidays.
  • Fluent in English.

Pay: $130,000.00 - $150,000.00 per year
