Position Overview
We are seeking an experienced Senior Client Service Associate to join our growing team. This individual will play a key role in delivering a high-touch client experience, supporting complex service needs, and providing day-to-day guidance to junior team members. They will also play a key part in ensuring our office technology is effective and efficient.
The ideal candidate is warm, detail-oriented, and takes pride in creating a seamless and positive experience for clients.
Responsibilities
· Serve as a primary relationship manager for client service needs, ensuring a high standard of responsiveness, accuracy, and professionalism
· Oversee all aspects of account maintenance, including openings, transfers, updates, and closures
· Execute alternative investment and pre-IPO subscription processes
· Partner with custodians and third-party providers to proactively resolve client requests and operational issues
· Ensure the integrity, accuracy, and completeness of client data across all firm systems
· Supervise and develop one Service Team member, providing ongoing coaching, training, and workflow oversight
· Act as the primary liaison to the firm’s outsourced IT provider, coordinating troubleshooting and system support
· Serve as the internal subject matter expert for key technologies (e.g., Calendly, CellTrust, Egnyte, copier, phone system), driving effective usage across the team
· Maintain and oversee client data within the CRM (Advyzon), ensuring consistency
· Establish and enforce organized digital filing systems in accordance with firm recordkeeping and compliance standards
· Lead the vendor due diligence process, ensuring contracts are properly maintained, reviewed, and renewed in a timely manner
Qualifications
· 3 years of experience in a client service role within wealth management or financial services
· Strong understanding of investment account operations and custodial platforms (Schwab experience preferred)
· Experience with alternative investments or private placements is a plus
· Highly organized with strong attention to detail
· Excellent communication and interpersonal skills
· Experience mentoring or overseeing team members preferred
· Proficiency with CRM and financial technology platforms
· Experience working at an RIA or fee-only firm preferred.
