Role Description:

This is a full time, on-site role located in Los Angeles, CA, for an IT Project Coordinator. The coordinator manages the day-to-day activities of IT projects, including scheduling meetings, tracking milestones, monitoring budgets and timelines, and following up on action items to keep initiatives on track. Key responsibilities include coordinating resources and vendors, maintaining comprehensive project documentation and risk logs, and performing business requirements analysis for internal and external-facing systems. Serving as a central communication hub between internal departments, external technical teams, vendors, and Global HQ in Korea, the coordinator prepares regular status updates, escalates critical issues, and proposes corrective actions. The role also focuses on continuous improvement, identifying opportunities to standardize workflows and develop best practices that increase the speed, quality, and scalability of business processes and system solutions.


Key Responsibilities:


Project Coordination & Delivery:

  • Coordinate the day-to-day activities of IT projects, including scheduling meetings, tracking milestones, and following up on action items.
  • Track project budgets, resources, and timelines, flagging risks or delays to the IT Systems Manager.
  • Assist with resource allocation and ensure team members have what they need to meet deadlines.
  • Support procurement and vendor coordination, including tracking deliverables and contracts.


Communication & Collaboration:

  • Serve as a communication hub between external technical teams and vendors.
  • Collaborate with internal departments as well as Global HQ departments located in Korea.
  • Prepare and distribute regular status updates and progress reports to IT Systems Manager.
  • Escalate critical issues and propose corrective actions


Documentation & Analysis:

  • Maintain comprehensive project documentation, including plans, timelines, status reports, meeting notes, requirements, decisions, and dependencies.
  • Maintain risk logs and proactively identify project and system risks before implementation to ensure smooth, on-time launches.
  • Perform business requirements analysis for internal and external-facing systems, including content management systems.

 

Process Improvement:

  • Identify process improvements and help standardize project workflows.
  • Assist in developing best practices to improve business processes, system solutions, business intelligence, and workflow and process/flow diagrams.
  • Foster a culture of operational excellence by continuously improving workflows, tools, and processes to increase speed, quality, and scalability.

 

Qualifications

  • Bachelor’s degree in information technology, Computer Science, Business Information Systems, or a related field.
  • 2-3 years’ experience of coordinating and managing IT projects.
  • Experience supporting organizational change management for technology implementations
  • Experience with SaaS and ERP platforms such as Shopify, NetSuite, Celigo, SAP, or similar systems.
  • Proficiency in Microsoft Office 365 (Outlook and Excel).
  • Strong problem-solving, documentation, and communication skills.
  • Experience in the retail or e-commerce industry.
  • Ability to adapt in a fast-paced, evolving work environment.
  • Self-starter with a strong work ethic and a willingness to learn new technologies and systems.


Preferred Qualifications:

  • Bilingual in Korean and English is a plus
  • Experience with project management methodologies (e.g., Agile, Waterfall) is a plus


Job Type: Full-time


Pay: $80,000.00 to $90,000.00 per year
