Overview

The Dental Practice Administrator is responsible for overseeing the daily operations of the dental practice, ensuring efficiency, compliance, and exceptional patient care. This role requires strong leadership, excellent communication skills, and a commitment to fostering a positive, collaborative work environment. The Practice Administrator will work closely with dentists, hygienists, assistants, and administrative staff to maintain smooth operations and high-quality service

Key Responsibilities

1. Leadership & Team Management

  • Provide clear directions, support, and motivation to all staff members.
  • Foster a positive team culture that encourages collaboration and accountability.
  • Set performance expectations, conduct evaluations, and address performance issues effectively.

2. Operational Oversight

  • Ensure compliance with OSHA, HIPAA, and other regulatory requirements.
  • Manage onboarding, training, and development of new staff.
  • Oversee scheduling, patient flow, and day-to-day operations to maximize efficiency.

3. Communication & Coordination

  • Serve as a liaison between clinical and administrative staff to ensure seamless communication.
  • Resolve conflicts diplomatically and promote a harmonious workplace.
  • Support staff in problem-solving and decision-making.

4. Financial Management

  • Oversee billing, insurance claims, and accounts receivable processes.
  • Utilize Eaglesoft (or similar dental software) for patient management, reporting, and financial oversight.
  • Analyze financial and operational reports to identify trends and implement improvements.

5. Patient Experience & Customer Service

  • Ensure all patient interactions are positive, professional, and service-oriented.
  • Address patient concerns and resolve issues promptly and effectively.
  • Maintain a welcoming and supportive environment for patients and families.

6. Administrative Duties

  • Develop and enforce office policies and procedures to improve efficiency.
  • Manage supplies, equipment, and vendor relationships.
  • Maintain confidentiality of patient and staff information.

Qualifications

  • Previous experience in a dental office required.
  • Proven leadership and team management skills.
  • Strong organizational, administrative, and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Knowledge of OSHA, HIPAA, and dental regulatory standards.
  • Proficiency in dental billing, insurance processes, and dental practice software (Eaglesoft preferred).
  • Ability to analyze data and implement operational improvements.
  • High level of discretion and professionalism in handling sensitive information.

Education

  • Degree in Healthcare Administration, Business, or related field preferred.

Working Conditions

  • Typical dental office environment.
  • May require occasional weekend hours depending on practice needs.
