Administrative Assistant
Position Summary
The Administrative Assistant provides comprehensive administrative and clerical support to ensure efficient day-to-day operations. This role serves as a key point of contact for internal teams and external stakeholders, handling a wide range of organizational, communication, and office management tasks with professionalism and discretion.
Key Responsibilities
- Manage team calendars, schedule meetings, and coordinate appointments across multiple time zones
- Answer and direct phone calls, emails, and in-person inquiries in a professional manner
- Prepare, format, and proofread correspondence, reports, presentations, and internal documents
- Organize and maintain physical and digital filing systems, ensuring confidentiality of sensitive information
- Coordinate travel arrangements, including flights, lodging, ground transportation, and itineraries
- Process expense reports, invoices, and purchase orders; reconcile receipts with company policies
- Plan and support meetings, including agenda preparation, note-taking, and follow-up on action items
- Order and manage office supplies, equipment, and vendor relationships
- Greet visitors and maintain a welcoming, organized front-office environment
- Assist with onboarding logistics for new hires (workspace setup, access credentials, orientation scheduling)
- Support special projects and cross-functional initiatives as assigned
Required Qualifications
- High school diploma or equivalent; Associate's or Bachelor's degree preferred
- 2 years of administrative, office, or executive support experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
- Strong written and verbal communication skills
- Excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously
- High level of professionalism, discretion, and attention to detail
- Reliable, punctual, and able to work independently with minimal supervision
Preferred Qualifications
- Familiarity with project management tools (Asana, Trello, Monday.com) and communication platforms (Zoom, Teams)
- Experience with expense management systems (Expensify, Concur, Ramp) and HRIS platforms
- Background in a startup, manufacturing, or technology environment
