Administrative Assistant

Position Summary

The Administrative Assistant provides comprehensive administrative and clerical support to ensure efficient day-to-day operations. This role serves as a key point of contact for internal teams and external stakeholders, handling a wide range of organizational, communication, and office management tasks with professionalism and discretion.

Key Responsibilities

  • Manage team calendars, schedule meetings, and coordinate appointments across multiple time zones
  • Answer and direct phone calls, emails, and in-person inquiries in a professional manner
  • Prepare, format, and proofread correspondence, reports, presentations, and internal documents
  • Organize and maintain physical and digital filing systems, ensuring confidentiality of sensitive information
  • Coordinate travel arrangements, including flights, lodging, ground transportation, and itineraries
  • Process expense reports, invoices, and purchase orders; reconcile receipts with company policies
  • Plan and support meetings, including agenda preparation, note-taking, and follow-up on action items
  • Order and manage office supplies, equipment, and vendor relationships
  • Greet visitors and maintain a welcoming, organized front-office environment
  • Assist with onboarding logistics for new hires (workspace setup, access credentials, orientation scheduling)
  • Support special projects and cross-functional initiatives as assigned

Required Qualifications

  • High school diploma or equivalent; Associate's or Bachelor's degree preferred
  • 2 years of administrative, office, or executive support experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
  • Strong written and verbal communication skills
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously
  • High level of professionalism, discretion, and attention to detail
  • Reliable, punctual, and able to work independently with minimal supervision

Preferred Qualifications

  • Familiarity with project management tools (Asana, Trello, Monday.com) and communication platforms (Zoom, Teams)
  • Experience with expense management systems (Expensify, Concur, Ramp) and HRIS platforms
  • Background in a startup, manufacturing, or technology environment

Pay: $40,000.00 - $50,000.00 per year
