Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling to ensure seamless communication and workflow.
- Manage bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations.
- Coordinate vendor relationships, negotiate contracts, and handle procurement to support office needs and special events.
- Handle human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processes.
- Assist with budgeting, financial reporting, and expense analysis to ensure fiscal responsibility.
- Organize filing systems, manage document retention, and ensure compliance with administrative policies.
- Support event planning activities for company meetings
- Maintain office supplies inventory and ensure the overall cleanliness and organization of the workspace.
Experience
- Strong proficiency with QuickBooks
- Demonstrated experience in office management, clerical duties, and administrative support roles.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a busy setting.
- Exceptional communication skills—both verbal and written—and professional phone etiquette.
- Experience with event planning, vendor management, payroll processing, budgeting, and human resources functions is highly desirable.
- Familiarity with multi-line phone systems, calendar management tools, filing systems, and front desk responsibilities is essential.
