What You’ll Do
Administrative & Executive Support
- Manage scheduling, calendar, and communications for the Executive Director.
- Develop and maintain administrative systems and processes for efficiency.
- Draft, edit, and distribute correspondence, reports, and documentation.
- Support financial processes including invoicing, deposits, and budget tracking.
- Coordinate meetings, prepare slides, and take accurate minutes.
Client Care Coordination
- Provide warm, client-centered support at the front desk and via phone/email.
- Manage client scheduling, initial forms and subsequent documents, and follow-up appointments.
- Support HIPAA-compliant processes, billing coordination, and correspondence
- Maintain prospective patient waitlists and provider availability.
- Ensure office readiness and a clean, welcoming environment for clients.
Organizational & Creative Tasks
- Assist with team integration.
- Oversee daily office operations including supplies, vendors, and facilities.
- Support the production of program and client materials in digital/print formats.
- Coordinate digital media and outreach activities including flyers, newsletters, and social media posts that highlight services, events, and community partnerships.
- Use tools like Canva, social media platforms, and networking to ensure consistent branding and clear communication.
What We’re Looking For
- Bachelor’s degree in Business, Communications, or related field (preferred).
- 2 years of administrative or client service experience.
- Strong organizational and problem-solving skills with the ability to take initiative.
- Excellent written and verbal communication.
- Proficient with Microsoft Office; skilled in Canva, social media, and other digital tools.
- Brings a learner’s mindset, integrity, and commitment to best-in-class service.
- Emotional and professional maturity, ministry-minded, and collaborative.
- Reliable transportation and valid driver’s license.
- Willingness to occasionally work evenings/weekends and lift up to 20 lbs.
