We are seeking an experienced, proactive, and dynamic Home Care Office Manager to oversee our day-to-day operations, ensure strict regulatory compliance, manage caregiver training and development, and drive agency growth.
Key Responsibilities
· Day-to-Day Operations: Oversee daily administrative workflows, staff scheduling, client intake, and general office functionality to ensure seamless service delivery.
· Caregiver Training & Development: Coordinate and conduct orientation, skill competency evaluations, and ongoing state-mandated training programs for caregivers, CNAs, and PCAs.
· Sandata & EVV Management: Utilize Sandata for Electronic Visit Verification (EVV), visit maintenance, caregiver scheduling, authorization tracking, and billing clearance.
· Compliance & Auditing: Conduct regular internal audits of client and employee files to ensure total adherence to state regulations, Medicaid/MCO standards, and agency policies.
· Hiring & Onboarding: Manage full-cycle recruitment for field staff, including sourcing, interviewing, background checks, credential verification, and onboarding.
· Payroll & Invoicing: Process caregiver payroll, resolve timesheet/EVV discrepancies, and manage billing/invoicing for private pay and third-party payers.
· Business Development & Marketing: Actively market agency services to hospitals, rehab centers, community organizations, and families to generate leads and bring in new clients.
Qualifications & Requirements
· Required: Minimum of 2 years of supervisory-level experience in a Home Care or Home Health agency setting.
· Required: Hands-on proficiency with Sandata EVV software.
· Experience in planning and facilitating caregiver orientation and continuing education/training.
· Proficiency with Microsoft Office Suite (Word, Excel, Outlook), spreadsheets, and financial software such as QuickBooks or similar platforms
· Strong knowledge of state home care regulations and compliance standards.
· Proven track record in recruitment, onboarding, and caregiver retention.
· Experience with healthcare billing, payroll processing, and invoicing.
· Strong communication, marketing, and networking skills to drive business growth.
· Excellent organizational and problem-solving abilities.
