OVERALL POSITION DESCRIPTION: The Front Desk Manager is responsible for overseeing all front desk operations in the clinic. The Front Desk Manager ensures exceptional patient service, efficient administrative workflows, and compliance with organizational standards. The Front Desk Manager supervises front desk staff, coordinates scheduling, and serves as a key liaison between patients and clinical teams.
ESSENTIAL FUNCTIONS:
Leadership & Staff Management
· Supervise, train, and mentor front desk staff to maintain high standards of professionalism and patient care.
· Develop and manage staff schedules to ensure adequate coverage.
· Conduct performance evaluations and provide ongoing feedback.
· Implement policies and procedures to optimize front desk operations.
Patient Interaction & Customer Service
· Ensure patients are greeted warmly and professionally upon arrival.
· Oversee verification of patient demographics, insurance information, and photo ID.
· Resolve escalated patient concerns promptly and professionally.
· Monitor appointment scheduling accuracy and timeliness.
· Maintain a positive and welcoming environment in the waiting area.
Administrative Oversight
· Ensure accurate and timely creation and maintenance of electronic health records (EHR).
· Monitor compliance with HIPAA regulations and confidentiality standards.
· Oversee insurance verification, eligibility checks, and patient financial counseling.
· Manage collection and reconciliation of co-pays, deductibles, and outstanding balances.
· Track and report daily financial transactions to the Clinic Administrator.
Operational Coordination
· Collaborate with clinical staff to ensure efficient patient flow and communication.
· Maintain inventory of office supplies and ensure availability of necessary equipment.
· Develop and implement process improvements to enhance efficiency and patient satisfaction.
Other Duties
· Assist patients with mobility or special needs when necessary.
· Perform additional responsibilities as assigned by the Clinic Administrator.
EDUCATION AND EXPERIENCE:
· Associate's degree in a related field required. Bachelor’s degree preferred.
· Relevant certifications preferred.
· 4 years of experience working front desk or administrative positions in a healthcare setting required, including 1 year of leadership or supervisory experience.
· Strong leadership, interpersonal, and communication skills.
· Proficiency in EHR systems, scheduling software, and Microsoft Office Suite.
· Knowledge of medical terminology, insurance billing, and coding.
· Excellent organizational and multitasking abilities.
· Familiarity with HIPAA regulations and patient confidentiality.
· Empathy, patience, and a customer-centric approach to patient care.
