Duties
- Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring a warm and welcoming environment
- Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette
- Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office
- Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including typing correspondence, managing emails, and supporting customer support efforts
- Maintain a tidy reception area, ensure all office equipment is functioning properly, and support overall organizational efficiency
Requirements
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
- Prior experience with multi-line phone systems and phone etiquette to handle high call volumes professionally
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Previous experience as a dental or medical receptionist is a plus; personal assistant experience is also valued
- Knowledge of bookkeeping software such as QuickBooks is advantageous for handling basic financial tasks
- Exceptional customer service skills with a friendly demeanor and positive attitude
