Job Overview
We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily activities. The ideal candidate will be proactive, personable, and highly skilled in office management, communication, and multitasking. Duties

  • Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring a warm and welcoming environment
  • Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including typing correspondence, managing emails, and supporting customer support efforts
  • Maintain a tidy reception area, ensure all office equipment is functioning properly, and support overall organizational efficiency

Requirements

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
  • Prior experience with multi-line phone systems and phone etiquette to handle high call volumes professionally
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Previous experience as a dental or medical receptionist is a plus; personal assistant experience is also valued
  • Knowledge of bookkeeping software such as QuickBooks is advantageous for handling basic financial tasks
  • Exceptional customer service skills with a friendly demeanor and positive attitude
  • Ability to manage time effectively, demonstrating strong multitasking capabilities and attention to detail
