Qualifications

Education and Experience: Education equivalent to graduation from a standard high school.

Substitution of Experience for Education: Qualifying experience in delivery, distribution, or strong mail handling experience in postal services may be substituted for the required education on a year-for-year basis.

Preferred experience equivalent to four years of distribution, and/or strong mail handling experience for a large organizations or mail house.

Necessary Special Qualifications: Positions in this class must meet the following requirements:

1. Have a valid motor vehicle operator license.

Overview

The part time DGS Distribution Specialist 1 plays a key role in keeping mail and package operations running smoothly for the Tennessee Tower and surrounding State offices in Davidson County. In this position, you will prepare mail for distribution, sort and organize incoming items, and assist with floor to floor deliveries inside the Tennessee Tower. You will also support customers in the mailroom, helping ensure timely pickup, use of mail lockers, and general service coordination. Daily reporting and basic technology use are essential to maintaining accurate records and efficient processes.

This part time position reports to the Distribution Supervisor. The ideal schedule is concentrated at the beginning of the week, with mandatory shifts on Monday and Tuesday (4-5 hours per day). Wednesday and Thursday typically average around 4 hours, and Fridays are generally off, offering a consistent end of week break. While this schedule supports operational needs, the department maintains flexibility when possible.

We are seeking a candidate who is comfortable working with computers, mail locker systems, and basic technology tools, and who enjoys providing dependable customer service.

This position reports to the Distribution Supervisor. The position has an on-site work schedule of mandatory shifts on Monday and Tuesday (4-5 hours per day). Wednesday and Thursday typically average around 4 hours, and Fridays are generally off. The shift is 6:00 a.m. to 11:00 a.m., with an hourly salary of $17.00 per hour.

Responsibilities

• Serves as a point of contact for customers regarding delivery status, tracking inquiries, and service-related issues. Addresses and resolves discrepancies on inbound mail and packages and communicates delivery confirmations or exceptions in a timely and professional manner.
• Sorts and organizes mail and packages by department, division, and delivery route to support efficient distribution. Utilizes motorized and non-motorized equipment (e.g., carts, pallet jacks) to move materials safely. Handles and transports mail tubs, packages, and related items to designated staging or delivery areas.
• Documents receipt and delivery of accountable mail (e.g., packages, certified mail) using designated tracking systems such as WTS/Quadient. Ensures all items are properly scanned or recorded, including photographic confirmation when required, to maintain chain-of-custody and service accountability.
• Identifies and responds appropriately to suspicious or hazardous items (e.g., damaged, leaking, or unknown substances). Follows established emergency and safety protocols and notifies appropriate personnel or authorities in accordance with departmental procedures.
• Loads, unloads, and manages parcel lockers to ensure accurate package placement and retrieval. Troubleshoots basic locker system issues and escalates technical problems as needed to ensure service continuity.
• Assist with other Incoming Mail functions, such as scanning live mail using approved mail scanning software to capture documents as PDF images and electronically transmit them to the appropriate customer.

TN Driver Standards
