Maintenance & Facilities Administrative Assistant

We're looking for a proactive Maintenance & Facilities Administrative Assistant to support maintenance and facility operations across our family of companies. This role is perfect for someone who enjoys balancing administrative work with project coordination, vendor management, purchasing, and helping keep manufacturing operations running smoothly.
What You'll Do
- Manage maintenance work orders, preventative maintenance schedules, and CMMS records
- Coordinate facility repairs, contractor schedules, and service providers across multiple locations
- Purchase maintenance supplies, equipment, tools, and services
- Process invoices, purchase orders, and ensure accurate cost coding
- Track inventory, spare parts, and maintenance supplies
- Support facility improvement and capital projects from start to finish
- Partner with Accounting on budgets, asset tracking, and expense reporting
- Maintain compliance documentation, permits, inspections, and maintenance records
- Prepare reports, spreadsheets, and departmental metrics
- Serve as the administrative hub connecting Maintenance, Operations, EHS, Purchasing, Accounting, and vendors
- Identify opportunities to improve processes, reduce costs, and increase efficiency
What We're Looking For
- High school diploma or GED required
- 3 years of administrative, facilities, maintenance, project coordination, or operations support experience preferred
- Manufacturing experience strongly preferred
- Experience with Microsoft Office (Excel, Outlook, Word, Teams)
- Experience with CMMS and ERP systems (Epicor preferred)
- Strong organization, communication, and multitasking skills
- Detail-oriented with the ability to manage multiple priorities
