The purpose of this role is to support the Ship Design Program Manager and S1B Program Manager with planning and execution of the CLB Program. This position requires administrative performance at the highest levels. Job functions include coordination of high-level customer meetings, presentation preparation including use of templates and content review, document preparation including use of templates and content review, scheduling meetings and developing agendas, tracking actions to closure, internal and external correspondence, business letters, ordering supplies and general office duties. The position requires excellent communication with all levels of management, numerous customers, suppliers and sites. Overtime is required as necessary to support the business or Program needs. This PCTA should be viewed as an expert resource for administrative requirements.
The successful candidate will support the Program Manager and wider Program Office team. Minimum responsibilities include, but are not limited to:
- Direct support to the Ship Design Program Manager, Pam Drurey, and the S1B Program Manager, Doug Studwell
- Manage calendar, email, along with phone calls and visitors
- Support and coordinate the preparation of CLB Executive Briefs, Program Managers Telecons (PMTs), and Weekly Director Status Books
- Efforts include researching, calculating and updating respective dashboards while compiling final book and managing all logistics with all stakeholders
- Ability to set up and run meetings using Adobe Connect
- Assist with CITIS requests from various EB departments as well as EB customers
- Administers New London conference room calendars
- High School Diploma
- 5 years of professional experience
- Required skills in Power Point include updating slide master format including text boxes and page numbering, formatting of text sizes /locations / content, and formatting of tables and charts.
- Required skills in Word include editing and updating text, formatting of fonts, header/footers, page numbers and page layouts
- Required skills in Excel include building tables, developing charts, manipulating table/chart formats, formatting of fonts, header/footers, page numbers, and page layouts
- Strong verbal, written and organizational skills as well as the demonstrated ability to effectively interact with and integrate a wide range of personnel within EB and outside of the company including, NAVSEA, PMS397, Naval Reactors
- Must be confident in communicating and working with upper management as well as Navy participants
- Must be reliable, possess a strong team orientation, be customer focused, and have a desire to work in a dynamic, fast-paced environment
- Must be able to coordinate high-level internal and external customer meetings including invites, reservation of proper conference room, set up, supportive documents, graphic requirements, operating presentation equipment with efficiency
- Associate’s degree or higher
- Preferred skills in Word include developing table of contents and linking footnotes
- Preferred skills in Excel include pivot charts/tables and updating databases
- Preferred skills in Power Point include developing, inserting and/or updating embedded tables
- Experience working with Naval Reactors
- Experience working in a program office or engineering office
- A strong background and experience dealing with EB technical and administrative departments such as Engineering, Contracts, Finance, Legal, and Accounting
- Active security clearance
- Well-developed interpersonal skills, communication skills
