We have an exciting opportunity for an experienced Department Assistant to join our Admin team located in Poway, CA. This position will be responsible for receptionist and office related duties as well as providing general office support to other Admin related functions.
DUTIES & RESPONSIBILITIES:
- Greet Company visitors in the reception area and notify staff members of visitors.
- Prepare security badges including domestic and foreign visitors and employee temporary badges.
- Provide general administrative support to management and executive Admin.
- Gathers, collects, records, tracks, verify data and information from multiple sources.
- Coordinates and tracks the progress of unit work assignments and/or projects.
- Maintains and updates a variety of confidential and sensitive electronic and/or hard copy reports records, timelines, correspondence and presentations.
- Prepares requested electronic and hard copy reports.
- May respond to routine requests for information from internal sources.
- Follow established safety standards and operating procedures.
- Responsible for observing all laws, regulations, and other applicable obligations wherever and whenever business is conducted on behalf of the Company.
- Perform additional duties as assigned or required.
Job Qualifications
- Typically requires a high school diploma or equivalent, and two or more years of experience in general office administration or in a field related to the specialized functional area or unit of assignment.
- Must possess:
- Full knowledge of computer operations and applications such MS Office including Word, Excel and PowerPoint.
- The ability to grasp new concepts quickly.
- The ability to maintain the confidentiality of sensitive information.
- Strong organization skills and the ability to establish priorities.
- The ability to identify issues and solve routine problems.
- Good analytical, interpersonal, verbal and written communication skills to accurately document and report.
- Ability to work both independently and in a team environment is essential.
- Ability to work extended hours as required.
