What are the responsibilities and job description for the Management Associate position at Genentech?

Objectives and Scope of Position:

  • Provide timely, accurate, and effective Executive Administrative support for the four PD Strategy Leads (SL’s).  This includes Agile Execution Strategy Lead, Development and PHC Innovation Strategy Lead, the Patient and Society Strategy Lead and the People and Culture Strategy Lead.
  • The Management Associate (Mgmt Assoc.) will support the Strategy Leads with a variety of department administrative and operational activities.
  • Examples of Duties and Responsibilities include:
    •  Provide accurate and effective administrative support to Strategy Leads by identifying and anticipating needs and ability to plan work activities accordingly
    • Exercise independent judgement and discretion with sensitive/confidential and propriety information
    • Manage multiple schedules, prorities and able to made independent decisions regarding calendar priorities of complex meetings with global teams and with Sr. Executive Leaders
    • Exercise good and independent judgement when completing administrative tasks and other organizational activities to manage work that is assigned across the PD SL team
    • Organize multiple files and google accounts to ensure accuracy and maintance of information
    • Provide support to PD SL and DEL team members as needed to complete PD strategic priorities
    • Planning, organizing and delivering potentially large cross-functional team events, sprints and other activities to support PD strategic priorities and enterprise collaboration
    • Address problems and develop practical, thorough, and creative solutions without relying on precedent or supervisory review; understand and troubleshoot from a broader perspective
    • Collaborate with the administrative team to further advance PD strategic priorities.
    • Communicate effectively to articulate PD Strategy and encourage engagement of the broader communities of administrative professionals.
    • Abiity to address and triage general operational or other inquiries that may come forward to the PD Strategy Leaders
    • Manage and prioritize work within or across the organization by providing project leadership, direction, training and assistance to others by:
      • Supporting Strategy Leads with scheduling travel and processing expense reports
      • Coordinating, scheduling and preparing for meetings/presentations
      • Gathering information and/or formatting or editing departmental materials, presentations or other documentation
      • Serving as the liaison between the business and external vendor/s; management and communication
      • Generate and process contracts as requested
    • Identify new systems as needed to enable implementation of PD strategic priorities
    • Acts as the departmental resource on new systems or departmental processes within PD
    • Where assigned, coordinates department or other team meetings both off and on-site, which may include directly managing all event planning requirements and related logistics including contract negotiations, vendor management and budget
    • Keeps project and related databases up-to-date including: Intranet pages, prooject hubs, touchpoint and other virtual communication tools  
    • Liase with the PD Communications Leads to coordinate communication  and project updates/initiatives  for large initiatives with a broad range of internal and external customers including PD Comms, GPS, Pharma International, and Affiliaties
    • Assist with special projects as assigned by the PD SL team
    • Complies with all laws, regulations and policies that govern the conduct of Roche and Genentech activities.

Compliance:

  • Is responsible for acting in line with legal, regulatory and company standards and codes of practice (eg Roche Code of Conduct, applicable Roche directives, guidelines and SOPs)
  • Document management and retention; complying with company guidelines and necessary confidentiality measures
  • Completes all required training modules as a priority

Professional and Technical Requirements:

  • Experienced expert in business administration and senior level engagement.
  • Organizational expertise and demonstrated ability to manage multiple priorities.

Experience, Skills, Knowledge:

  • An average of 7-10 years of related senior-level administrative, or operations experience
  • Experience working in Healthcare/Pharma industry.
  • Has worked for or managed large meetings which may include external agencies
  • Highly skilled in interpersonal communications and writing, Including persuasion and influence
  • Database management experience
  • Appreciates the diversity of working in a multi-functional and multi-cultural environment
  • Used to working autonomously in a fast paced environment with a busy work loa
  • Must demonstrate outstanding computer skills and specific proficiencies with Microsoft Word, Excel and PowerPoint Google Suite applications
  • Proven track record of meeting or exceeding objectives & goals
