Job Overview
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and callers alike. Your organizational skills and office management experience will ensure smooth daily operations, creating a positive first impression for everyone who enters our space. Responsibilities

  • Greet visitors warmly, assist with check-in procedures, and direct them appropriately
  • Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette
  • Handle incoming calls efficiently, providing accurate information or routing calls to the correct departments
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to maintain accurate records
  • Organize and file documents systematically, ensuring easy retrieval and confidentiality
  • Support office management tasks such as calendar management, appointment scheduling, and proofing correspondence
  • Assist with clerical duties including photocopying, faxing, proofreading documents, and maintaining supplies

Experience

  • Prior office or administrative experience is required, preferably in a healthcare or professional setting such as dental or medical reception
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience managing multi-line phone systems and demonstrating excellent phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Familiarity with QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Previous customer service or customer support experience that highlights professionalism and communication skills
