Responsibilities
- Greet visitors warmly, assist with check-in procedures, and direct them appropriately
- Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette
- Handle incoming calls efficiently, providing accurate information or routing calls to the correct departments
- Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to maintain accurate records
- Organize and file documents systematically, ensuring easy retrieval and confidentiality
- Support office management tasks such as calendar management, appointment scheduling, and proofing correspondence
- Assist with clerical duties including photocopying, faxing, proofreading documents, and maintaining supplies
Experience
- Prior office or administrative experience is required, preferably in a healthcare or professional setting such as dental or medical reception
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience managing multi-line phone systems and demonstrating excellent phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
