Gema Products is seeking a highly organized and detail-oriented Production Coordinator to join our team in New York City.
In this role, you will act as a key liaison between our sales team, design team, overseas factories, and logistics partners, ensuring samples, production timelines, and shipments stay on track. This is a hands-on opportunity for someone who is proactive, communicative, and comfortable working across time zones.
Key Responsibilities
- Coordinate communication between internal teams (sales/design) and overseas factory partners
- Manage and follow up on purchase orders, sample status, production timelines, approvals, and revisions
- Track production schedules, ship dates, ETDs/ETAs, and delivery timelines
- Collaborate with freight forwarders and logistics partners to ensure timely shipments
- Review incoming samples for quality, accuracy, construction, color, labeling, and packaging
- Track sample feedback, revisions, approvals, and factory corrections
- Review factory audits, inspection reports, and QC documentation
- Maintain organized records of orders, samples, shipments, and factory communications
- Proactively identify and escalate delays, quality issues, or risks
- Support internal teams with updates on production status and order tracking
Qualifications
- Fluent in Mandarin Chinese and English (required)
- Written Chinese proficiency strongly preferred
- Experience in production coordination, sourcing, supply chain, logistics, or product development preferred
- Prior experience working with overseas factories (China strongly preferred)
- Strong attention to detail and follow-through
- Ability to review physical samples and identify quality issues or inconsistencies
- Excellent organizational and communication skills
- Comfortable managing multiple timelines, orders, and vendor conversations simultaneously
- Experience with Excel, Google Sheets, ERP systems, or order tracking tools preferred
- Must be able to work onsite in NYC 5 days per week
