This Executive Assistant role located in New York City, NY will be responsible for providing high-level support to the CEO and CFO, ensuring their time and priorities are effectively managed. This role is responsible for coordinating complex calendars, scheduling meetings, and arranging domestic and international travel. Additional responsibilities include managing expenses, preparing materials, and handling a variety of administrative tasks to support daily operations. The ideal candidate will be proactive, highly organized, and able to manage sensitive information with discretion
Location: New York City, NY (4 days in office; with occasional business travel)
Job Type: Exempt
Work Schedule: Schedule fluctuates based on workloads during weekdays with afterhours / weekend work as needed
Key Responsibilities:
- Manage and prioritize complex calendars for the CEO and CFO, ensuring efficient scheduling of meetings and appointments.
- Anticipate needs and proactively address scheduling conflicts, deadlines, and priorities.
- Coordinate domestic and international travel arrangements, including flights, accommodation and ground transportation.
- Process and track expense reports, reimbursements, and credit card reconciliations in a timely manner.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Support special projects, events, and other ad hoc requests to ensure smooth executive operations.
Qualifications:
- 2-5 years of experience as an Executive Assistant or in a similar high-level administrative support role.
- Ability to work independently, anticipate needs, and adapt in a fast-paced, dynamic environment.
- Proven ability to manage complex calendars, travel arrangements, and expense reporting for senior executives.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and communication tools such as Zoom, Teams, and Slack.
- Strong organizational and time-management skills with the ability to prioritize competing demands.
- Excellent written and verbal communication skills, with professional presence when interacting with stakeholders.
- High level of discretion and judgment when handling sensitive and confidential information.
