What you will do:
Primary Function: Under the direction of the Transportation Manager, this role (include name here) plays a vital role in supporting GCC's trucking operations. This position is responsible for a variety of administrative, financial reconciliation, and compliance tasks, ensuring efficient data management, accurate driver records, and adherence to transportation regulations. This position is structured as a preparatory role with the intention of transitioning the successful candidate into a Transportation Manager position, contingent upon performance and organizational needs.
Key Responsibilities:
I. Financial & Data Management
- Reconcile and verify driver pay envelopes.
- Prepare weekly driver settlement reports.
- Reconcile payment list freight/freight with driver weekly settlements.
- Perform accurate data entry for various operational metrics.
- Reconcile fly ash orders and associated paperwork.
- Reconcile transport loads and accurately enter into SAP.
- Ensure timely entry of wait time, "truck not ordered" instances, and similar data into SAP.
- Prepare and submit expense reports within 30 days of charges.
- Prepare and submit equipment repair expenses in Coupa.
- Prepare new vendor information and submit to procurement for processing.
- Quote rates when applicable.
II. Reporting & Data Analysis
- Complete monthly and mid-month operational reports.
- Provide weekly fuel service charge information in McLeod and to NDC carriers.
- Complete and submit weekly inventory reports for NDC terminals.
- Send weekly reports to customers as requested.
III. Compliance & Documentation Management
- Compile and file IFTA taxes quarterly.
- File for annual and bi-annual licensing for NDC equipment.
- Monitor, update, and maintain DOT compliance records.
IV. Communication & Customer Service
- Answer phones and provide backup support for dispatch operations.
- Provide email communications from NDC management to NDC carriers.
- Update and maintain the NDC carriers list, distributing it to Professional Answering Service, Customer Service, and Truck Silo.
- Provide comprehensive customer service to internal and external customers, as well as NDC carriers and the sales team.
V. General Administrative & Support
- Perform basic purchasing for NDC, including fly ash hand tickets and office supplies.
- Maintain and monitor driver files/logs.
- Perform general filing and record-keeping.
- Perform other duties as assigned to meet operational needs.
Knowledge / Skills / Abilities:
- Education: High school diploma or equivalent required. Associate's degree in Business Administration, Logistics, or a related field preferred.
- Experience: 5-7 years of administrative experience, preferably within an industrial trucking, logistics, or operations environment.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with SAP, McLeod, Coupa, and transportation management systems (TMS) is highly desirable.
- Strong data entry skills with a high degree of accuracy.
- Core Competencies:

- Strong written and verbal communication skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Basic understanding of trucking operations and logistics principles.

- Familiarity with DOT regulations and IFTA tax requirements is a plus.
Working Conditions: This position primarily operates in an office environment. Occasional flexibility in hours may be required to support operational demands or meet deadlines.
